PAY RANGE:

$87,450 - $108,564 Annually

Job Description
We have an opening for a Program Office Executive Assistant to work in a dynamic and fast-paced environment within the Nuclear Threat Reduction (N) Program Office within the Global Security (GS) Directorate. You will be a member of the N Program management team that assists the N Program Manager, Deputy Program Manager, and Chief Engineer in providing a full range of advanced, diverse, and complex administrative duties in a highly visible environment. You will serve as a direct point-of-contact and liaison to the N Program Office and will interface with a wide variety of internal and external personnel, sponsors, and stakeholders, including senior executives. This position is in the Global Security Principal Directorate.
In this role, you will
Engage with N Program senior management to establish and direct the development of business, operational, and organizational projects. Provide input and oversight to multi-faceted and significant initiatives and projects in conjunction with N Program management.
Represent N Program management in daily interactions to senior management and executives across the laboratory; and the Department of Energy (DOE), National Nuclear Security Administration (NNSA), Department of Defense and other Federal agencies; other national laboratories and scientific organizations; academia; political leadership at all levels including Federal, State, and local; industry partners; and international colleagues amongst others.
Independently set priorities when committing the N Program and Deputy Program Managers’ time anticipating needs; organize, coordinate, and manage highly complex and confidential calendars. Support management in all aspects of their challenging schedules and responsibilities to ensure success in every situation with steadfast integrity, ethics, grace, proficiency, professionalism, and confidentiality. Regularly monitoring schedule while maintaining awareness of real-time activities.
Research and analyze business and organizational issues, applying tactical thinking and serve as an advisor to effectively multiply management’s productivity. Track and archive event activities for future reference. Oversee requests for information; compile and coordinate institutional information; provide input on a variety of business, operational, and administrative matters; and at times represent the Program.
Compose, clarify, coordinate, proof, format, edit, and finalize communications, reports, and actions with sensitivity and flexibility, and disseminate information on behalf of N Program management. Independently prepare responses and deliverables on behalf of the N Program Management team.
Assist senior management with organizing internal and external meetings; develop agendas, identify, and coordinate meeting attendees and presentation materials.
Arrange complex domestic and international travel and make complex itinerary adjustments as required; manage expense report submissions.
Recognize, create, and implement plans to promote and foster a culture of inclusion, diversity, equity, and accountability.
Transporting guests from point of pick-up to the designated location for high level visits and transporting guests for on-site tours.
Perform other duties as assigned.
Qualifications
This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at time of hire.
Advanced experience leading business, operational and organizational activities, participating in a variety of organizational projects and researching, interpreting, and applying a wide variety of policies, procedures, and guidelines.
Strong background in identifying and implementing technology solutions to automate administrative processes using a variety of software packages and database approaches. Expert use of MS Office applications, including experience developing complex reports using Excel for use in management decision making, including excellent grammar, proofreading, and editing skills.
Advanced experience providing executive assistant support and representing senior management/executives to diverse internal and external stakeholders.
Knowledge of appropriate handling of sensitive and classified documents and protection; experience working effectively with sensitive issues.
Advanced communication skills to effectively interact and represent the office and Program and Deputy Program Managers with all levels of management, both internal and external to the Laboratory.
Advanced analytical skills as well as the ability to anticipate, identify, and resolve complex problems in a rapidly changing environment, using a high degree of mature judgment, discretion, and tact.
Experience implementing plans that promote and value inclusion, diversity, equity, and accountability principles in the workplace.
This position requires a valid California driver’s license.

QUALIFICATIONS WE DESIRE:

Broad and in-depth knowledge of Laboratory business, operations, and program/discipline organizations; demonstrated knowledge of external organizations at the local, State and National levels.
