Description:

Working with our National IT Directors, you’ll make sure their days run as efficiently as possible. Diary management, new starter admin, team event planning – that’s your bag.
Our National IT teams support Aldi by delivering our system and infrastructure needs. And they couldn’t do it without you. As someone who is beyond organised, flexible and upbeat, you like nothing more than getting everything shipshape.

An opportunity has arisen to join an amazing team as a PA to the Managing Director. NIT have a drive for implementing change at every level and in every part of the business.

Responsibilities:

  • Supporting the MD 1:1 with external stakeholders, Senior Management, visitors, and preparing for visits
  • Planning, coordinating and managing meetings across time zones including booking meeting rooms, providing refreshments, MS Teams set up, agenda and presentation preparation and proof reading of documents
  • Long-term calendar management ensuring annual activities run smoothly (meetings, planning & preparation) and schedule reviews to ensure on-time delivery of key pieces of work
  • Arranging UK and International travel, including flights, trains, car hire, hotels, airport parking and managing itineraries
  • Tracking and ensuring actions and information requests are followed up appropriately
  • Researching, sourcing and general preparation of industry and market briefings
  • Analysis of raw information including numerical analysis and creation of executive summaries
  • Administration of routine financial planning processes and documentation, ensuring deadlines and attention to detail
  • Supporting the Directors and MD with submissions, driving consistency and early preparation
  • Creating and delivering leadership / management information packs to drive the department forward
  • Tracking of a number of reports, submissions and gaining insight for change
  • Building and maintaining excellent relationships and communications with a multitude of contacts and stakeholders, internally and externally
  • Regular handling of highly confidential and sensitive information with total discretion
  • Collating monthly UK and international expense claims
  • Invoice checking, processing and adherence to the company policies and procedures
  • Drafting and proof reading of stakeholder documentation often with short turnaround times
  • Supporting the inductions of new Directors, including the creation of training plans
  • Raising service calls on behalf of the MD and following through to completion
  • Support MD on ad-hoc projects
  • Proactively identifying opportunities to improve current processes and increase efficiency and effectiveness within the team
  • Working closely with the wider PA team
