Our client requires a Personal Assistant and Office Administrator, to be an essential part of their consulting business, supporting daily operations and ensuring smooth functioning across various aspects of the organization.

REQUIREMENTS:

  • 2 to 3 years of experience in an office support role.
  • Financial background preferred.
  • Strong excel skills
  • Ability to maintain a high level of confidentiality
  • Friendly yet firm/assertive when required
  • Team player

Responsibilities:

  • Manage daily timesheets and ensure accuracy for invoicing purposes.
  • Issue invoices and final timesheets, and submit them for processing.
  • Handle client queries and follow up on outstanding invoices.
  • Compile monthly statements and maintain records of all client invoicing.
  • Manage client agreements and ensure validity and timely renewals.
  • Assist in preparing quotes, reviewing documentation, and obtaining sign-offs.
  • Onboard new clients and manage related documentation.
  • Support HR functions including recruitment, onboarding, and staff record management.
  • Verify and manage payroll data, liaising with relevant stakeholders.
  • Coordinate office support tasks such as IT equipment agreements, expense invoice management, and office stock ordering.
  • Ensure compliance with legal requirements such as POPI and PAIA, and assist with BEE certification.
  • Assist with scheduling and coordinating interviews, feedback, and communication with recruitment agencies and candidates.
  • Prepare employment offer documents and facilitate new employee onboarding.
  • Coordinate travel arrangements and bookings as needed.
  • Manage communication to staff and assist with various administrative tasks.
