Our client requires a Personal Assistant and Office Administrator, to be an essential part of their consulting business, supporting daily operations and ensuring smooth functioning across various aspects of the organization.
REQUIREMENTS:
- 2 to 3 years of experience in an office support role.
- Financial background preferred.
- Strong excel skills
- Ability to maintain a high level of confidentiality
- Friendly yet firm/assertive when required
- Team player
Responsibilities:
- Manage daily timesheets and ensure accuracy for invoicing purposes.
- Issue invoices and final timesheets, and submit them for processing.
- Handle client queries and follow up on outstanding invoices.
- Compile monthly statements and maintain records of all client invoicing.
- Manage client agreements and ensure validity and timely renewals.
- Assist in preparing quotes, reviewing documentation, and obtaining sign-offs.
- Onboard new clients and manage related documentation.
- Support HR functions including recruitment, onboarding, and staff record management.
- Verify and manage payroll data, liaising with relevant stakeholders.
- Coordinate office support tasks such as IT equipment agreements, expense invoice management, and office stock ordering.
- Ensure compliance with legal requirements such as POPI and PAIA, and assist with BEE certification.
- Assist with scheduling and coordinating interviews, feedback, and communication with recruitment agencies and candidates.
- Prepare employment offer documents and facilitate new employee onboarding.
- Coordinate travel arrangements and bookings as needed.
- Manage communication to staff and assist with various administrative tasks.
