JOB DESCRIPTION

This position is for an Office Administrator working at our Dublin office. This role entails being the Personal Assistant to Dublin’s Country Director, the face of the business for any new starters joining Oliver James Dublin, along with additional responsibilities listed below.

Responsibilities:

As an Office Administrator, your responsibilities will be:

  • Personal Assistant to the Country Director
  • Managing day-to-day diary,
  • Supporting with creating and sending out the majority of correspondence
  • Prioritisation of emails.
  • Coordinate travel and accommodation arrangements
  • Content creation and increasing engaging on growing social media pages along with any office LinkedIn Audits and so on.
  • Event planning for Oliver James socials, networking events, and any incentives.
  • Co-ordinating and monitoring office operations to ensure company requirements are sufficiently met daily. Maintaining office cleanliness and stock, arranging interview bookings, organising meeting rooms, event spaces and so on.
  • Responsible for Health & Safety in the office, keeping all risk assessments up-to-date.
  • Maintaining office finances such as expense reporting
  • Perform new starters company orientation and ensuring a positive and inclusive environment for any Recruiters at Oliver James.
  • Liaising with wider Oliver James operations such as IT, Talent Acquisition, People Operations and including the wider team of EA’s across Oliver James globally.
  • Coordinate and oversee the completion of special projects as needed.
