Responsibilities:

WHAT YOU’LL DO:

As an Office Administrator and Project Coordinator, you will play a pivotal role in managing both administrative tasks and project coordination. You will be responsible for overseeing the scope of various projects, ensuring quality deliverables are met within stipulated timeframes. Your role will also involve maintaining project plans, schedules, budgets and expenditures. Additionally, you will manage sustainability reporting efforts, implementing green initiatives where possible. Your administrative duties will include overseeing facilities services & maintenance activities, coordinating with various stakeholders to ensure smooth office operations.

  • Manage the scope of ad hoc projects to ensure quality deliverables within stipulated timeframes
  • Maintain and monitor project plans, schedules, work hours, budgets and expenditures
  • Organise, attend, and participate in stakeholder meetings
  • Prepare necessary presentation materials for meetings
  • Manage sustainability reporting, analysing results and providing valuable information for decision-making
  • Implement green initiatives and suggest sustainability ideas to reduce carbon footprints
  • Oversee facilities services & maintenance activities
  • Coordinate with vendors, contractors, and service providers to ensure smooth office operations
  • Manage business trips, hotel booking, temporary accommodation and visa/work permits application process
  • Collaborate with cross-functional teams to ensure a seamless workflow

The ideal candidate for the Office Administrator and Project Coordinator role will be a degree holder with at least 5 years of proven experience in senior office administration. You will have an in-depth understanding of office management procedures and policies, coupled with meticulous attention to detail and strong analytical skills. Your excellent organisational and time management skills will enable you to multitask effectively, while your strong interpersonal skills will ensure effective interaction with all levels of stakeholders. A high level of proficiency in Microsoft Office is essential.
