Description:

JOB DESCRIPTION:

Reporting to the Manager of Strategic Service, the Office Administrator will be responsible for supervising the front end administrative staff in the Strategic Services section, contribute to the creation, maintenance and review of standard operating procedures for front line administrative processes, be responsible for the Service’s practicum program and provide logistical support for Service. This position will stand in for the Manager, Strategic Services when needed.

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent
  • Experience in a supervisory role
  • Proficient in Microsoft 365
  • Experience in the following databases and asset; PROS, CPIC, JOIN
  • 5 years administrative experience an asset
    Successful candidates will be required to complete and pass an Enhanced Security Clearance check prior to commencing the position.

Responsibilities:

  • Provide daily supervision and support of front-end administrative staff.
  • Assist with review and implementation of Standard Operating Procedures for those reporting to this position.
  • Oversee the Service’s practicum program for post-secondary students and facilitate their learning within our service.
  • Oversite of ordering and maintaining accounts for all mobile phones for the service including ordering, management of JAMF software and Apple Business ID
  • Creating reports, tables, and spreadsheets related to work done by those who report to this position.
  • Complete initial review of FOIP reports
  • Take on duties of Manager, Strategic Services when the incumbent in that role is on leave or absent from the office.
  • Other tasks as required.
