About the role
The Apprentice will join our Business Services function, supporting the Executive Assistant in managing and maintaining the office space while also providing administrative support.
You will be a key member of the team, ensuring the smooth operation of the office and company events. As such, you should have a passion for fostering a positive work environment and have the capacity to handle a number of different tasks at any given time, welcoming new challenges and communicating effectively.
You will be enrolled onto the Business Administrator Apprenticeship shortly after your start date. The apprenticeship takes approximately 15 months to complete and during this time you’ll achieve the skills, knowledge and behaviours necessary to develop a career within a number of different functions.
You will receive training and development over the course of your apprenticeship, whilst you will be fully supported to undertake and complete your studies, this programme does require personal commitment to study in your own time, in addition to your offsite training day.

Responsibilities:

  • Managing company events and meetings: including People Friday (all company event), assisting with other events. Managing all aspects of booking (budgeting, accommodation, catering, venues for day and evening events); chasing RSVP’s and supporting with developing the agenda and content for the day including slide decks.
  • Overseeing the management of the office space: liaising with building management, IT service providers and other suppliers; ensuring the office is well-equipped, clean and maintained; managing the meeting rooms and the desk booking system; responding to feedback and requests regarding the office space; inducting new staff to the office space; managing Printer contract and maintenance
  • Administrative support: scheduling meetings with rooms and catering as required; Responsible for checking the company’s enquiries inbox, ensuring all incoming communications are sent to the right staff members in a timely manner; answering incoming telephone calls to the business and transferring to relevant team members. Supporting senior staff with adhoc administration tasks. Managing subscriptions (birthday’s and gifting, e cards etc).
  • Ordering office supplies: organising grocery and kitchen supplies; managing coffee subscription; ordering stationery and office provisions.
  • Visitor and new joiner support: being the first point of contact for all visitors, welcoming and assisting candidates, clients and guests; inducting new joiners on the office space, health and safety procedures and desk booking system in conjunction with the People Team;
  • Health and Safety: acting as Health and Safety Co-Ordinator, liaising with our out-sourced Health and Safety Consultancy and ensuring the compliance of our Health and safety policy.
