OVERVIEW

We are seeking a proactive and organized Office Assistant to join our People (HR) team at Knight Frank Middle East. This role is key in ensuring smooth office operations and providing essential support to our team of professionals. The ideal candidate will have a keen eye for detail, excellent organizational skills, and a proactive approach to problem-solving.

Skills and Qualifications

  • Proven experience as an office assistant, office administrator, or in a relevant administrative role
  • Knowledge of office management systems and procedures
  • Excellent organizational and time management skills
  • Strong communication and interpersonal skills
  • Ability to multitask and prioritize tasks effectively
  • Discretion and confidentiality
  • Local driving license diserable
  • Software: Microsoft Office programs to an advanced/proficient level
  • Language skills: Fluency in English, written and verbal. Fluency in Arabic or other languages is advantageous
  • Flexible attitude towards travelling to other UAE office

Responsibilities:

  • Maintain office cleanliness and organization to create a conducive working environment
  • Manage office supplies inventory and place orders as necessary
  • Coordinate maintenance and repairs of office equipment and facilities
  • Assist in organizing office events, meetings, and conferences
  • Handle incoming calls and correspondence in a professional manner
  • Assist in preparing documents, reports, and presentations as needed
  • Assist in layout changes and office reconfigurations as needed
  • Support in scheduling appointments and managing calendars
  • Keep records of maintenance schedules and service contracts
  • Greet and assist visitors courteously and professionally
  • Coordinate with external vendors and service providers
  • Coordinate with utility providers for any issues or changes in service
  • Monitor and report any maintenance issues such as plumbing leaks, electrical problems, or HVAC issues
  • Maintain accurate records related to maintenance activities, repairs, and inspections
  • Other tasks as required
