Description:

We are providing a rewarding opportunity for an Office Assistant in Santa Barbara, California. This role primarily involves managing and organizing office functions and clerical duties in a busy telecom provider environment. As an Office Assistant, you will be responsible for a variety of tasks including file management, inventory tracking, and customer service.

Responsibilities:

  • Managing and organizing various office functions and clerical duties
  • Processing and unloading filing cabinets into file boxes
  • Accurately inventorying the contents of each file box and maintaining a record of total quantity per filing cabinet
  • Coordinating the movement of boxes from one location to another within the office space
  • Assisting in unloading the file boxes at the new location
  • Managing the packing and labeling of boxes from the Architect’s office
  • Utilizing Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word for various office functions
  • Performing billing functions and handling correspondence as required
  • Providing excellent customer service to both internal and external stakeholders
  • Using the ‘About Time’ management system for efficient task completion.

Please note that this role offers a short-term contract employment opportunity.

  • Proficiency in Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and Microsoft Word is required.
  • Knowledge and experience in Office Functions and Clerical Duties are essential.
  • Familiarity with the ‘About Time’ software is desirable.
  • Experience in handling Billing Functions would be advantageous.
  • Ability to manage professional Correspondence effectively is expected.
  • Strong Customer Service skills are needed to ensure customer satisfaction.
  • Candidates need to demonstrate the ability to multitask and prioritize responsibilities effectively.
  • Strong organizational skills and attention to detail are essential.
  • Excellent written and verbal communication skills are required.
  • Ability to work both independently and as part of a team is needed.
