Description:
JOB OVERVIEW
The Office and Hospitality Assistant provides a welcoming and organized environment at the front desk, museum, and bookshop, while providing office support for the Wade Center. This position is under the direct supervision of and collaborates closely with the Office Manager. The hours for this position are 25 hrs./week, 12 months/yr.
QUALIFICATIONS
- Bachelor’s degree preferred as well as experience in an office environment
- Intuitive computer/tech skills with Microsoft Office, Adobe, Jotform, Web, & POS software
- Thrives in a dynamic work environment that requires multi-tasking and adaptability
- Demonstrates attention to detail.
- Excellent public relations, writing, typing (60 wpm), and communication skills
- Familiarity with Wade authors
PHYSICAL REQUIREMENTS

Responsibilities:
DUTIES AND RESPONSIBILITIES
- Serves as receptionist and docent, welcoming patrons, answering phones and emails, scheduling and providing tours and group presentations, visitor data and reports, and supervising student worker docents
- Coordinates with Office Manager regarding monthly events and staff schedules and regular updates of the Wade Outlook Calendar, website, forms, and other documents and software as needed
- Supports event coordination, preparation, and promotion, including campus scheduling and marketing software, materials, and forms, and assisting at evening and weekend events
- Assists with bookshop coordination, including inventory, sales, and customer service and data using Clover software
- Acts as safety representative and manages facility, maintenance, and academic & institutional work orders, office supply orders, and maintains organized and welcoming work and visitor spaces
- Tracks expenses and reports and organizes and maintains digital and paper files
- Oversees Wade daily and mass mailings, postage, and packages
- Helps with hiring, training, and managing student workers
