Description:

The Wayfair Community Experience team operates physical environments that attract top talent, foster collaboration, nurture employee success and promote retention. Our Berlin office houses ~500 Wayfair employees. As a receptionist and general office agent within our Berlin office, you will be responsible for creating a safe, welcoming and efficient environment for our employees whilst promoting our positive Wayfair culture in everything you do. Your role will be employee facing and you will also work with a variety of vendors and visitors, you will place a key emphasis on providing a positive experience for all.

Key Responsibilities:

  • Operate our reception desk, providing an exceptional experience for our guests, employees & vendors.
  • Manage our office operations in Berlin, including running the snack program, health & safety, maintenance and our mailroom.
  • Establish and maintain relationships with outside vendors and our Landlord as necessary for site maintenance; administer local contracts and maintenance agreements.
  • Proactively identify ways in which to improve our office environment and make the experience as positive as possible.
  • Be responsible for our Keycard Management & Inventory system for visitors, new hires and existing employees.
  • Take ownership of our Community Experience ticketing system in Berlin; ensuring efficient handling of tickets within strict SLA frameworks.
  • Support with finance and invoice processing, including vendor management and collaboration with our finance teams to ensure speedy payment of our vendors.
  • Prepare monthly newsletters and support with business reporting for the Berlin office.
  • Work cross functionally with other internal and external stakeholders on day to day and events based tasks.
  • Support the local leadership team with administrative tasks as necessary.
  • Helping to manage and set up on-site company events
  • Moving of furniture, electronics and equipment as needed

Requirements

  • Minimum one years of experience in office management or administration within a fast paced environment.
  • High level of proficiency in Google Suite,with the ability to pick up new systems quickly.
  • Great communication skills in English (C1) and German (B2) (written, verbal and non-verbal).
  • Organized and structured mindset, able to deliver projects within budget.
  • Positive attitude and self motivated (“Customer first” attitude; Going the extra mile).
  • Great problem solving skills and a detail-oriented work approach.
  • Ability to quickly adapt and address complex challenges in collaborative ways.
  • Can push/pull and /or lift up to 25kg
