  • Language Skills: Fluency in English and German.

  • Organizational Skills: Motivated, conscientious, with strong organizational skills.

  • MS Office Proficiency: Skilled in Word, PowerPoint, Excel and Outlook, particularly for calendar management.

Responsibilities:

  • Administrative Support: Assist management and team with tasks such as data maintenance, managing vacation and sick leave accounts, preparing internal workshops, sending letters and Christmas gifts, coordinating LinkedIn content and our homepage, participating in contract drafting, scheduling meetings, maintaining the Transparency Register, and distributing information letters to employees.
  • Invoice Management: Organize outgoing and incoming invoices, including determining services to be invoiced, data maintenance, creating and sending invoices, tracking payments, collecting supplier invoices, uploading to Workday, and managing payments.
  • Business Evaluations: Collaborate with the accounting department to prepare monthly business evaluations, ensuring a smooth month-end close in Workday.
  • Information Provision: Provide information and evaluations for management, including monthly employee overviews and responding to contract and data inquiries.
  • Recruiting and Onboarding: Support recruiting efforts; conduct initial interviews, assist with onboarding and offboarding processes, preparation and handover of hardware, set up software accounts, and ensure a smooth start for new employees.
  • Payroll Coordination: Coordinate with payroll accounting for managing sick leave, enrollment certificates, pension schemes, salary changes, and special payments.
  • Event Organization: Proactively organize team events, including spring, autumn, and Christmas parties, team lunches, game nights, and birthday gifts.
  • General Office Management: Oversee general office tasks such as mail processing, office equipment, purchasing supplies, booking travel, managing mailboxes, documenting hardware inventory, and liaising with our IT partner.
