Description:
REQUIREMENTS
- 3+ years of relevant work experience in office management/coordination and administrative support
- Ability to multi-task, work under pressure and adjust priorities on a regular basis
- Strong service orientation and proactive problem-solving skills with hands on mentality
- Excellent communication, interpersonal and organizational skills
- Positive mindset, open-minded and friendly character
- Fluent English and German language skills – French would be a plus
- Proficient in MS Office (Word, Outlook, Excel, & PowerPoint) – experience in Ariba, Kronos would be a plus
Responsibilities:
ROLE
As office manager you will ensure smooth operations at Axalta European Headquarters in Basel when it comes to travel, equipment, internal meetings and events and the support for the assigned Vice Presidents with all round problem solving.
This is a permanent on-site job, ideally for someone that can work full time, but suitable applicants able to work +30 hours/week can be considered.
RESPONSIBILITIES
- Provide general support to defined VPs in the HQ
- Travel arrangements
- Travel Expense Reports
- Calendar Management
- Provide general office services including the organization of office operations and procedures, the monitoring and ordering of office supplies, invoice handling, time management etc
- Plan and organize ex- and internal events and meetings (incl. catering)
- Collaborate with facility and IT provider on office relevant topics
- Act as receptionist for the office, welcoming onsite guests and handling mail and logistic delivery
- Assist in the onboarding process for new hires (incl. administration of AMEX and Mobile phones)
- First point of contact for any office related questions from employees (e. g. travel booking, travel expenses, time management, use of office equipment, procedures and standards at site)
- Act as a backup of the other Executive Assistant on Site.
