Aquafortus is an innovative technology company poised to disrupt the industry and is at the forefront of research, development, and deployment of high-recovery industrial water remediation technologies. The team at Aquafortus works with the biggest names in the global industry.
We are currently looking for an Office Manager & Executive Assistant to join our team. This is a pivotal role responsible for the smooth running of the office and supporting the executive team. This is primarily an office-based role, based out of our 3 and 3A Airpark Drive, Mangere facilities.
The successful candidate will be competent in prioritising and working with little supervision. They will be self-motivated and trustworthy. They will have their finger on the pulse, is in the know of what is going on around the office, along with being the eyes and ears of the executive team. They will be able to manage calendars, emails, travel, project work, handling confidential matters, event management, Board meeting management, filing, and ensure the smooth running of each day in a dynamic ever-changing environment. They will be accountable for the administration and management of our office facilities.
They will be a critical member of the team, acting as the executive team’s “gatekeeper”. You will work closely with the executive team to ensure they are prepared for meetings, anticipating needs, providing all necessary information and documents, and are able to make informed decisions.

POSITION REQUIREMENTS AND CAPABILITIES

  • 3+ years’ experience as an office administrator, office manager, executive assistant, secretary, or receptionist Able to maintain a high level of integrity and discretion in handling confidential information
  • Initiative - someone self-motivated, comfortable working with a high degree of autonomy, who can pick up work quickly, under pressure, and produce work with minimal instruction
  • Superior skills managing own time, meeting deadlines amidst often changing scope, prioritising own work as well as understanding the wider priorities of the team
  • Someone with a clear sense of personal and professional accountability
  • Ability to stay calm and make informed decisions
  • Proficiency in MS Office (MS Excel, MS Word, and MS Outlook in particular) and an aptitude for learning new software
  • Excellent written and verbal communication skills
  • Created systems to help multitask and ensure no task is overlooked
  • Comfortable taking a hands-on approach in unloading, moving, and organising office supplies
