Job Description
The Office Manager will report directly to the Business Unit Director. This is a newly created role due to our continued growth in Europe, and will be supported by the wider HR, Accounts, Travel Booking and Site Operations departments.

QUALIFICATIONS

  • Fluent English and German - both verbal and written.
  • Previous experience of managing a busy, fast paced office.
  • Proficient in using a range of Microsoft packages including Excel.
  • Knowledge of German employment law.

Responsibilities:

  • Assist the Business Unit Director with day-to-day office administration tasks.
  • Answer all calls to the GmbH HQ office
  • Monitor, distribute, record and action were required all incoming mail.
  • Liaise with accounts department to ensure all incoming invoices are paid in line with the payment terms agreed for GmbH properties and vehicle.
  • Onboard and off-board staff members as required in conjunction with the hiring manager and business unit lead.
  • Assist in country registration queries for new employees.
  • Maintain GmbH staff tracker listing Tax ID’s, Insurance providers
  • Assist in securing new accommodation for staff members
  • Maintain company vehicle tracker noting any changes in driver and liaising with vehicle leasing companies.
  • Assist with arranging utility contracts with internet and phone services
  • Support site team with ordering of stationery and printing equipment.
  • Provide translation assistance for all German correspondence.
  • Research and update German compliance for company registration information
  • Assist with developing a marketing campaign with Business Unit Lead and Business Development team.
  • Assist with arranging quarterly social events for GmbH staff
  • Record deliveries to German Store and maintain inventory.
