The Senior Office Manager holds a leadership role in overseeing the administrative operations of the office, ensuring efficiency, productivity, and a positive work environment. This position involves managing a team of administrative staff, coordinating office facilities, and providing strategic support to senior management. Key responsibilities include:

Administrative Leadership:

  • Supervise and mentor a team of administrative professionals, providing guidance, training, and performance feedback.
  • Delegate tasks and responsibilities effectively to ensure the smooth operation of daily administrative functions.Foster a collaborative and supportive work environment within the administrative team.

Office Operations Management:

  • Oversee the day-to-day operations of the office, including facilities management, office supplies procurement, and equipment maintenance.
  • Develop and implement policies and procedures to optimize office efficiency and ensure compliance with organizational standards.Monitor and evaluate office workflows and processes, identifying opportunities for improvement and implementing solutions as needed.

Budget and Resource Management:

  • Manage office budgets and expenditures, tracking expenses, and identifying cost-saving opportunities.
  • Negotiate contracts with vendors and service providers, ensuring optimal terms and pricing for office-related services.Allocate resources effectively to support operational needs and strategic priorities.

Risk Management and Compliance:

  • Ensure compliance with relevant regulations, policies, and standards governing office operations, including health and safety regulations.
  • Implement measures to mitigate risks and maintain a safe and secure work environment for employees and visitors.
  • Respond promptly to emergencies or incidents, implementing appropriate protocols and procedures as needed.
  • Adhoc as assigned

Requirements:

  • Bachelor’s degree in Business Administration, Management, or related field; advanced degree or certification preferred.
  • Proven experience (5 years) in office management or related leadership roles, with a track record of success in managing administrative operations.
  • Strong leadership and team management skills, with the ability to motivate and empower staff members to achieve their full potential.
  • Excellent organizational and multitasking abilities, with a focus on prioritization and attention to detail.
  • Effective communication and interpersonal skills, with the ability to interact confidently with individuals at all levels of the organization.
  • Strategic thinking and problem-solving capabilities, with a results-oriented mindset.
  • Demonstrated integrity, professionalism, and discretion in handling sensitive information and confidential matters.
