Description:

We are in search of an Office Manager for our university. The role will be 100% onsite and will involve overseeing the administrative staff within the facility, managing office support operations, and providing supervisory and support services as required. This role offers a short term contract employment opportunity.

SKILLS:

  • Proficiency in Accounting Software Systems, ADP - Financial Services, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook
  • Familiarity with Accounting Functions, Accounts Payable (AP), Accounts Receivable (AR), and Billing Functions
  • Strong Customer Service Skills
  • Demonstrated proficiency with Accounting Software Systems
  • Experience with ADP - Financial Services
  • Advanced knowledge of Microsoft Excel
  • Proficient with Microsoft Office Suites
  • Familiarity with Microsoft Outlook
  • Ability to perform Accounting Functions effectively
  • Proven experience with Accounts Payable (AP) and Accounts Receivable (AR)
  • Experience in Billing Functions
  • Excellent Customer Service skills
  • Prior experience in an educational or university setting preferred
  • Familiarity with the operations and administrative functions of a university office
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Ability to work independently and as part of a team
  • Proven ability to handle confidential information with discretion
  • Bachelor’s degree in Business Administration or a related field preferred

Responsibilities:

  • Supervise and manage office support operations and activities within the facility
  • Provide administrative, supervisory, and support services as required
  • Oversee the hiring, promotion, demotion, and discipline of employees with direct reporting relationships
  • Delegate program functions to support staff and monitor office functions on a daily basis
  • Oversee unit operations and prepare data for various reports
  • Process all bills for authorized services, maintain and monitor total amounts disbursed, and forward bills to accounts payable
  • Coordinate meetings and arrange programs, events, and/or conferences, including arranging for facilities and caterers, issuing information and invitations, and coordinating speakers
  • Track event budget and ensure it is adhered to.
