We are currently searching for a personable and amicable individual to become a valuable part of our Sonas team. As the Nursing Home Office Manager, your primary responsibility is to oversee and manage the overall operational procedures within the Nursing Home’s office. This includes administration, customer service, and various ancillary functions such as HR, Finance and IT functions.

Responsibilities and duties encompass, but are not limited to:

  • Maintaining office efficiency, including common areas, procedures, correspondence, filing systems, and supplies.
  • Overseeing day-to-day activities of the Nursing Home and addressing issues promptly.
  • Collaborating with the HR department to ensure compliance with statutory requirements and Sonas HR policies.
  • Completing statutory requirements for new staff and obtaining HR checklist sign-off.
  • Scheduling staff EDPs, probation assessments, etc., and sending reminders to the management team.
  • Assisting in the preparation of fortnightly rosters and facilitating payment of wages by the payroll department.
  • Attending and documenting meetings with the management team on HR-related matters.
  • Establishing and maintaining records for the Nursing Home, including employee and resident details, payroll reports, fees, financial records, and petty cash.
  • Processing supplier and customer invoices/receipts and managing payments as per Sonas policy.
  • Managing resident accounts, supplier invoices, payroll, and all financial matters.
  • Overseeing cash collection and debtor management.
  • Submitting monthly claims for “Fair Deal” to HSE.
  • Preparing financial reports for the monthly report for Person in Charge and Quality Manager.
  • Assisting in the management of home operations, as agreed with the Quality Manager and the PIC and/or Director of Nursing.
  • Due to the nature of the business, flexibility with rostered days and hours of work is required.

Skills and Experience:

  • Proficiency in MS Office packages.
  • 2+ years of office management experience, desierable
  • Strong time-management and people skills, flexibility, and multitasking ability.
  • Advanced computer skills and experience with online platforms.
  • Proficiency in Microsoft Office, with the aptitude to learn new software and systems.

Education & Qualifications:

  • A degree in Business/Marketing/Administration is desirable.
  • Pursuing a third-level degree or vocational course in business studies, administration, and/or marketing is preferable.
