Position Overview:
We are currently seeking an Office/Marketing Assistant to support our administrative functions and assist in the smooth operation of our office. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment. As an Office/Marketing Assistant, you will play a key role in coordinating administrative tasks, managing customer inquiries, and supporting our team of restoration professionals.
The Office/Marketing Assistant position is an in-person position for 40 hours a week, 7:30 AM -4:00 PM

Responsibilities:

  • Greet clients and visitors in a professional and friendly manner
  • Answer phone calls, respond to inquiries, and direct calls to the appropriate team members
  • Assist with scheduling appointments and dispatching technicians to job sites
  • Manage and organize office documents, files, and records
  • Perform data entry tasks accurately and efficiently
  • Coordinate with vendors, suppliers, and subcontractors as needed
  • Assist in preparing and sending invoices, estimates, and other documents to clients
  • Monitor inventory levels and order office supplies as needed
  • Organizing & scheduling all marketing events
  • Communicating with referring parties
  • Maintaining spreadsheets & PowerPoints
  • Managing all promotional items – ordering, stocking and distributing
  • Supporting the Marketing Representatives with their daily responsibilities

Requirements:

  • High school diploma or equivalent; additional certification or training in office administration is a plus
  • Proven experience in an administrative role, preferably in a similar industry
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software
  • Excellent communication skills, both verbal and written
  • Strong organizational and multitasking abilities
  • Ability to work independently with minimal supervision
  • Attention to detail and accuracy in data entry and record-keeping
  • Prior experience in customer service is desirable
  • Knowledge of water damage restoration or related industries is a plus
  • Highly organized
  • Self starter, motivated worker
  • Able to prioritize duties and complete time sensitive tasks effectively
