Position Overview:
We are currently seeking an Office/Marketing Assistant to support our administrative functions and assist in the smooth operation of our office. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment. As an Office/Marketing Assistant, you will play a key role in coordinating administrative tasks, managing customer inquiries, and supporting our team of restoration professionals.
The Office/Marketing Assistant position is an in-person position for 40 hours a week, 7:30 AM -4:00 PM
Responsibilities:
- Greet clients and visitors in a professional and friendly manner
- Answer phone calls, respond to inquiries, and direct calls to the appropriate team members
- Assist with scheduling appointments and dispatching technicians to job sites
- Manage and organize office documents, files, and records
- Perform data entry tasks accurately and efficiently
- Coordinate with vendors, suppliers, and subcontractors as needed
- Assist in preparing and sending invoices, estimates, and other documents to clients
- Monitor inventory levels and order office supplies as needed
- Organizing & scheduling all marketing events
- Communicating with referring parties
- Maintaining spreadsheets & PowerPoints
- Managing all promotional items – ordering, stocking and distributing
- Supporting the Marketing Representatives with their daily responsibilities
Requirements:
- High school diploma or equivalent; additional certification or training in office administration is a plus
- Proven experience in an administrative role, preferably in a similar industry
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software
- Excellent communication skills, both verbal and written
- Strong organizational and multitasking abilities
- Ability to work independently with minimal supervision
- Attention to detail and accuracy in data entry and record-keeping
- Prior experience in customer service is desirable
- Knowledge of water damage restoration or related industries is a plus
- Highly organized
- Self starter, motivated worker
- Able to prioritize duties and complete time sensitive tasks effectively
