Description:

OFFICE RECEPTIONIST

We are looking for an Office Receptionist, specialist who will be responsible for all tasks related to the reception desk of the CBS office in Krakow, such as car management, travel management and supply organization. Office Receptionist will be in close cooperation with Management for efficient and effective organization of the office infrastructure.

REQUIREMENTS:

  • At least 3 years’ of professional experience in similiar position (office management, assistant role etc.).
  • University degree.
  • Fluent English language skills.
  • Good knowledge of MS Office tools (eg. calendar, room reservations, meetings).
  • Strong communication skills and highly developed customer services skills.
  • Motivation and self-initiative.
  • Willingness to work and learn.
  • Professional, friendly, and welcoming attitude.

Responsibilities:

DUTIES & RESPONSIBILITIES:

  • Providing full reception service -overseeing the reception desk including guest and visitor’s care.
  • Supporting employees with office-related issues: office parking cards coordination, ordering and distributing the access badges for all employees, etc.
  • Organizing the incoming and outgoing mail and packages as well as processing incoming documentation and oversee the correct circulation of documents.
  • Managing the various office administration supplier relationships and associated processes such as ordering of office supplies (cooperation with local Procurement team), as well as managing various office services and supplies including responsibilities of budget and invoice verification.
  • Travel bookings for PL office employees.
  • Propose, implement, and execute office policies, organize office operations.
  • Assistance in organizing meetings and booking conference rooms as well as ordering catering.
  • Supporting the HR department in providing onboarding for new employees and organizing company events.
  • Cooperation with cleaning staff, building’s technical services, building security, main reception of the building on a daily basis.
