About the job
We are seeking an experienced Office Supervisor to join our team and manage the daily operations of our office. The ideal candidate will be organized, detail-oriented, and capable of handling multiple tasks simultaneously. The Office Supervisor will play a crucial role in maintaining a productive and efficient workplace environment.

Main Accountabilities

Administrative Management:

  • Oversee the day-to-day administrative functions of the office, including managing correspondence, answering phone calls, and organizing meetings.
  • Ensure that office supplies are adequately stocked and order additional supplies as needed.
  • Coordinate office maintenance and repairs as necessary.

Personnel Management:

  • Supervise administrative staff and provide guidance and support as needed.
  • Assist in the recruitment and onboarding process for new employees.
  • Manage employee schedules and time off requests.

Financial Management:

  • Assist in the preparation and monitoring of office budgets.
  • Process invoices and expense reports in a timely manner.
  • Ensure compliance with company financial policies and procedures.

Communication and Coordination:

  • Serve as the primary point of contact for internal and external communications.
  • Coordinate with other departments to ensure seamless collaboration and communication.
  • Facilitate communication between management and staff members.

Policy Implementation:

  • Implement and enforce office policies and procedures to ensure compliance with company standards and regulations.
  • Provide training and support to staff members on office policies and procedures.

Safety, Security and Compliance:

  • Co-operate with their manager / supervisor in order to allow them to perform or comply with any legal requirements imposed on the company.

  • Inform their manager / supervisor of any work situation, equipment or activity that represents a serious or immediate danger to health, wellbeing, safety and security.
  • Report any hazards, near misses, incidents, accidents or dangerous occurrences to their manager / supervisor, who will then follow the procedures contained in the HSE and Security manuals.
  • Carry out work in accordance with information and training provided and any specific health, wellbeing, safety and security rules or procedures.
  • Fully understand the Company Health & Safety and Security policies.
  • Attend training courses as may be arranged by the Company

Qualifications, Competencies & Experience

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Proven experience in office administration or management role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
  • Fluency in German and English languages (written and verbal).
