GENERAL DESCRIPTION

To provide day-to-day operational direction and long-term planning for the Association. To lead community operations to meet the objectives of the Board of Directors and the governing documents of the Association in accordance with the management contract.

KNOWLEDGE OF AND MINIMUM OF FIVE (5) YEARS OF WORKING EXPERIENCE IN COMBINATION WITH THE FOLLOWING DISCIPLINES

  • Commercial, residential, and/or community management
  • Construction/Landscaping Management
  • Business Management
  • Fiscal, budgetary and purchasing management

EDUCATION/CERTIFICATIONS

  • CMCA and AMS will be necessary. PCAM proffered
  • CPR/AED certified or willing to become certified
    Benefits and Salary
    The salary range for this position is negotiable based on experience and CAI designations ($115,000-$125,000 annually).

Requirements:

  • Experience in managing multiple associations/projects.
  • Prior LSM experience required
  • Active-Adult community experience preferred
  • Experience in project coordination and oversight with the ability to plan and prioritize.
  • Strong customer service skills and can interface effectively with sophisticated clientele.
  • Formal education or professional work experience in Community Management
  • Outstanding written and oral communication skills
  • Excellent time management skills
  • Must be proficient in Microsoft Office applications (Word, Excel, Outlook)
  • Ability to adapt to varying tasks
  • Ability to quickly learn new technology
  • Must be detail-oriented
  • Ability to create and maintain a budget
  • Ability to review and analyze financial report

Responsibilities:

Office Operations

  • Supervise all service requests. This includes ensuring proper receipt and handling of calls from residents, maintaining complete records, notifying and consulting with the Board on major problems in a timely manner and ensuring prompt response to all maintenance requirements within the responsibilities of the Association’s legal documents.
  • The On-Site Community Manager shall, from time to time, test the service request program by contacting residents to verify performance by staff and contractors performing work
  • Manage all communication and interface with the Community Residents.

Governance

  • Maintain thorough knowledge of CCRs, ensuring protocols and legal requirements are upheld
  • Demonstrate leadership by providing trusted guidance to the Board
  • Provide regular communication with the Board, including immediate updates on emergency situations
  • Coordinate, prepare materials and conduct Board meetings and workshops
  • Provide a monthly Manager’s Report detailing community operations and management activities
  • Assist Board with setting priorities for maintenance and repairs, capital improvements and amenities, vis a vis Reserve Study and budget
  • Facilitate reserve study updates and lead Board discussions about same
  • Support Board Secretary with reviewing Minutes for accuracy and post to the CAMS portal once approved
  • Recommend policies to the Board, including coordination with the Association’s attorney, as needed
  • Coordinate completion of all instructions from the Board
  • Organize and attend community meetings

Finance and Insurance

  • Prepare a preliminary annual budget and work with the treasurer, board and finance committee to finalize an approved budget
  • Work within the budget constraints of the Association
  • Process all invoices for payment of Association expenses
  • Ensure monthly financial reports are accurate and delivered to the Board by the 15th of the following month
  • Analyze monthly financial reports, create variance reports for the board of directors and finance committee
  • Facilitate capital improvements, repairs and replacements as necessary
  • Make recommendations to Board for investment of Association funds, as appropriate
  • Interact with the Association’s insurance provider and provide trusted guidance to the Board regarding insurance matters

Maintenance of Common Open Space and Amenities

  • Ensure amenities and common areas are safe, clean and in proper working order
  • Communicate with owners/guests about responsible usage of amenities. Uphold policies, as required.
  • Conduct regular inspections of common areas to assess conditions and manage vendor performance.
  • Oversee management of landscape and other vendors for all tasks and ensure work is performed to contract specifications.
  • Attend meetings with vendors and others, as needed

Community Standards

  • Maintain thorough knowledge of the Design Guidelines, rules & regulations, standards, and relevant CCRs
  • Oversee the administration of the ARC application process
  • Act as liaison between HOA, Declarant, and Guild Builders
  • Implement and manage a community standards compliance program
  • Identify CCR and Guideline violations. Recommend and manage action to remediate violations, including facilitating hearings and liaising with the Association’s attorney, as needed
  • Ensure that CCR requirements and policies are enforced accurately, fairly, and in a timely manner

Human Resources

  • Lead on-site team, consisting of an Assistant Community Manager, Lifestyle Director, Facilities Manager, and part-time staff to deliver on goals and service the community.
  • Supervise on-site team members to include prioritization, schedules, and direction of activities
  • Hold the team accountable for their performance and conduct.
  • Offer additional training to staff as needed.

Other

  • Interact as necessary with committees.
  • Support the Lifestyle Director to facilitate and execute community events.
  • Stay abreast of broader development/planning/governmental matters affecting the community
  • Maintain communication with community board of directors, committees, homeowners, guests, service providers, back-office support-team and others having business with the Association.
  • Support all Emergency/Storm Management planning and execution activity.
  • In all management efforts, ensure objective and timely follow-up.
  • Work with all third-party professionals toward accomplishing their objectives, including engineers, legal firms, insurance firms and construction management firms.
