This position will be a hybrid work arrangement, which translates to a minimum 3 days in office.
As a member of the Portfolio Analytics Group (PAG), the principal function of the Operations Assistant (OA) is to process a variety of financial documentation as well as serve as the main point of contact for General Partner related communication. Financial documentation and communication will be extracted from GP portals and auto uploaded to a document storage system or disseminated to internal teams. The OA will also undertake a broad range of operational tasks to support PAG as well as other groups within the firm, while providing excellent customer service both internally and externally.

What you will do:

Process and Track Capital Calls and Distributions

  • Monitor underlying GP portals for capital call and distribution notices
  • Process requests within the notice (confirmation of receipt, wiring instruction etc.)
  • Ensure all relevant documents are included in notices, follow-up with General Partners when necessary
  • Facilitate any materials, requests, and responses to internal departments, as needed
  • Review and analyze capital call and distribution notices details and stock distribution activity into the system of record
  • Update foreign exchange rates for foreign domiciled investments
  • Ensure all capital calls are paid and in timely manner and assist Treasury with any inquires

Partnership Financial Statements and Manager Correspondence

  • Monitor underlying GP portals for partnership financial statements, capital accounts and quarterly reports
  • Ensure all relevant documents are included in financial statements, follow-up, when necessary, Upload to document storage system
  • Work with internal stakeholders to request outstanding partnership financial statements from General Partners
  • Facilitate annual meeting invites and upload General Partner announcements

Other Responsibilities

  • Partner with internal teams such as Fund Accounting, Direct Accounting, Portfolio Analytics, and Investment teams
  • Coordinate with internal teams to assist with additional projects
  • System enhancement testing with IT, as needed
  • Maintain OA procedures
  • Perform miscellaneous data entry and other responsibilities as required

Education

  • Bachelor’s Degree
