About us
The role sits within the School of Biomedical Engineering & Imaging Sciences, and specifically within the MRI Clinical Research Department based at St Thomas’ Hospital.
The School of Biomedical Engineering & Imaging Sciences are committed to improve the way we deliver healthcare through the use of advanced engineering.
The department has 9 MRI scanners and a catheterisation lab, providing clinical and research MRI services in the areas of cardiac, foetal, neonatal and advanced brain imaging. The facility is embedded within St Thomas’ Hospital. Last year we conducted over 6000 clinical scans, of which over 4500 were recruited to research.

About the role
An experienced and dedicated Operations Assistant is required to provide high-quality general administrative support to the School of Biomedical Engineering & Imaging Sciences based at St. Thomas’ Hospital and specific support to the Imaging Clinical Research Facility.
The post-holder will report to the Senior Operations Officer (Quality and Finance) and will act as the principal point of contact for staff, stakeholders, and visitors within the department, providing efficient day-to-day operational assistance. This includes administrative support for the department and PA duties for the Director of Clinical and Research Operations and the Imaging Clinical Research Facility Manager.
The post holder will prepare and support meetings, including minute-taking. They will support the department with day-to-day operational matters, such as ordering general consumables, computer accessories, and stationery. They will also assist with general human resources matters and provide basic research support for the department and the school.
The postholder will interact with a wide range of people, including senior-level personnel from a variety of clinical and academic organisations. As such, the post requires someone with a confidential and methodical approach and a flexible and adaptable manner. After the initial direction, the postholder should be able to work with minimum supervision. The post holder must be able to manage their own time and workload efficiently and effectively, be enthusiastic with a high standard of education, previous office experience, and excellent interpersonal, organisational, communication, and IT skills. They will be able to use their own initiative as well as work as part of a team, enjoy a challenge, and undertake a wide variety of tasks.
This post will be based at offices within St. Thomas’ Hospital, with a minimum of 4 days on-site.
This is a full time (35 Hours per week), and you will be offered an indefinite contract.
About you
To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

  • Minimum level 3 qualifications, e.g., NVQ3, HNC, A levels, AS levels, International Baccalaureate diploma or other Level 3 qualification, plus work experience in relevant operational/administrative posts OR Considerable knowledge and skills gained through work experience in relevant operational/administrative posts with a clear progression in increasingly demanding jobs
  • Good knowledge of Office 365, including Word, Excel, PowerPoint, Outlook, SharePoint, and Microsoft Teams, aligned with IT skills and strong familiarity with navigating various systems.
  • Committee servicing - experience in organising meetings and taking minutes.
  • Experience of providing personal administration (PA) support
  • Proven knowledge and understanding of ordering and financial systems and basic analytical skills.
  • Excellent verbal and written communication abilities enable effective engagement with diverse stakeholders both internally and externally, while also facilitating successful collaboration as part of a multidisciplinary team.
  • Attention to detail and a high standard of accuracy.

Desirable criteria

  • Secretarial qualification and equivalent training.
  • Experience working in a clinical and research environment.
  • Experience working in educational or medical institutions.
  • Committed to continual development and proactive in seeking opportunities for learning and development.
