Description:

Our Children’s Trust is seeking an Operations Assistant to join our Operations team.
The Operations Assistant is a salary, non-exempt position, and a member of the OCTWA Bargaining Union. The annual salary range is $44,825- $55,373 and is benefit eligible. Benefits include 100% employer paid medical and dental for employee, long and short-term disability, life insurance, SIMPLE IRA plan with employer match, generous vacation, sick and holiday leave including restorative leave after 6 years.
This position is an in-office position. Work is primarily performed Monday through Friday during regular business hours; however, evening and weekend hours may be necessary dependent upon case activity, deadlines, and workload. Some travel may be required at the cost of Our Children’s Trust.

POSITION SUMMARY:

The Operations Assistant supports the overall operations of Our Children’s Trust by performing various clerical and administrative tasks. The Operations Assistant will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety. This position supports the entire organization and is a part of the Operations team that includes Finance, Human Resources, and Informational Technology.

Responsibilities:

KEY RESPONSIBILITIES:

  • Book and manage travel needs for staff and external partners
  • Provide excellent client service to external stakeholders through the processing of mail, emails and voicemails received by the organization
  • Process merchandise sales, shipping, and manage merchandise inventory
  • Partner with development team to provide donor support, such as gratitude mailings
  • Upkeep physical office facilities and coordinate maintenance
  • Prepare the office for visitors and events
  • During major legal events assist with the assembly of case related materials like printing and preparing binders
  • Provide excellent service to staff through support such as scheduling meetings, conference calls, catering, setting up AV equipment, and ordering supplies
  • Assist with maintaining organizational calendar and events
  • Support the organization with online file organization and maintenance as directed
  • Assist with the administration of the law clerk program
  • In collaboration with the CFOO, develop and implement office policies by setting up procedures and standards to guide the operation of the office and remote work settings
  • In collaboration with the HR Manager, organize orientation and onboarding for new staff, assist with offboarding, and manage staff wellness initiatives
  • Coordinate and manage in-office volunteers
  • Other duties as assigned
