KNOWLEDGE & EXPERIENCE – (ESSENTIAL):

  • Previous experience in an administrative role;
  • Knowledge and experience of the Microsoft Office suite, including but not limited to Outlook, Word, Excel, SharePoint, etc.;
  • Strong customer service experience, and excellent communication skills.

KNOWLEDGE & EXPERIENCE (DESIRABLE):

  • Experience in an academic or healthcare administrative role is desirable but not essential;
  • Experience using any of the IT systems outlined above, or evidence of having gained experience with similar IT systems;

Responsibilities:

  • Providing multifaceted support across the Core Training and Education Programmes team
  • Supporting the CST team in planning and execution of the annual surgical bootcamp for newly appointed CST Trainees
  • Supporting the team with the calendaring process in conjunction with RCSI Simulation and all stakeholders.
  • Support across OSCE Assessment days and planning of same
  • Liaise with relevant internal stakeholders (Bookings, Faculty, Technical Staff, IT, Finance) as required
  • Supporting the educational team including cross cover including a percentage of classes to be determined
  • Support the CST Interviews across annual interview week
  • Liaise with relevant internal stakeholders (Bookings, Faculty, Technical Staff, IT, Finance) as required.
  • Involvement in educational operational meetings and planning as required
  • Support the Operations Manager on the development and roll out of a number of key initiatives e.g. CRM development, data cleansing, and quality Improvement initiatives.
  • Undertake training on key databases utilised within the department such as, CRM, mSurgery, Qpulse, Qpercom, Moodle, Momentus, Agresso and others as required.
  • Ensure accuracy and consistency across all administrative processes.
  • Respond to and deal with queries in a professional, timely and courteous manner.
  • Co-ordinate or support ad hoc Surgical Training events as required or requested by the Operations Manager.
  • Attend team meetings and contribute to the overall success of the team through sharing of information, effective teamwork, management and ownership of responsibilities.
  • Undergo programmes of training and development as required from time to time.
  • Comply with statutory legislation and departmental rules & requirements in furtherance of their own and general staff welfare and safety.
  • Represent the best interests of the Department and RCSI at all times.
  • Perform other duties as may be required from time to time
