About the Role
As an Operations Co-ordinator & Executive Assistant to our Chief Operating Officer (COO – Institutional Australia), you’ll play a key role in helping to be ANZ’s most trusted and valued operations partner.

Responsibilities:

Autonomous and proactive management and prioritisation of COO time in relation to business needs, ensuring all key meetings are set within appropriate timeframes and required briefing materials available in advance.
Proactively identify incoming requests for conflicting COO schedule, summarise to COO in a succinct manner, synthesise inbox/emails to optimise COO time.
Provide administrative support for meetings including recording Minutes of Meetings, action items/follow up to COO/COO Leadership Team where required (leveraging appropriate AI technologies to improve efficiencies)
Co-ordinate and collate updates for relevant Senior Stakeholders/Risk Management Forum as required.
Monitor, process and report exec expenses to ensure cost effectiveness and compliance with delegated discretions and ANZ Expense Policy
Work with COO Business Leadership Team to assist with Business Briefings/internal events (logistics and administration) as required.
Produce general correspondence, presentations, reports etc of a confidential nature, on behalf of COO
Manage catering and venue requirements for conferences, meetings and functions hosted by COO, and Travel/accommodation requirements - ensuring cost effectiveness.

What will you bring?

Able to use initiative, be proactive by taking action and being persistent in addressing issues.
Professional approach with all internal and external contacts; and proven ability to build strong, open and collaborative working relationships
Well organised, with exceptional time management and high attention to detail
Can work under supervision on tasks with low complexity, works as part of a team and represent consolidated findings as directed; with the ability to work well in a team environment and communicate clearly.
Ability to engage staff and the EA Community to support COO Business agenda through partnering and collaborative working; an understanding of the Institutional businesses
Strong communication and influencing skills - spoken, written and in person.
Proven track record in an Executive Assistant/Team Co-ordinator role, supporting a senior executive with multiple and diverse priorities, with an extensive administrative experience in a fast-paced environment
Microsoft office skills, with a strong emphasis on ability to put together PowerPoint, excel and Teams presentations for various audiences.
Able to manage priorities and conflicting issues proactively and in a professional manner.
