JOB SUMMARY

Galapagos Federal Systems LLC is looking for an enthusiastic, well-qualified individual to fill the Operations Specialist position and to join our team of qualified, diverse individuals.
As the Operation Specialist, you will be responsible for managing and optimizing the processes involved in acquiring new assets or businesses while providing non-personal services for administrative-business management support on on-going and new evolving programs to ACC-APG and DASA(DES) and their supported organizations.
Job Requirements:

SKILLS / EXPERIENCE REQUIRED

  • 1-2 years relevant paid experience in administrative support, business analysis, or project coordination/management
  • Provide administrative support for DASA(DES) or DES Deputy Director, including reception desk duties, phone answering, visitor escorting, and meeting scheduling
  • Serve as primary contact for ASA(ALT) Staff Action Control Office (SACO), coordinating with DES Executive Officer (XO) and Executive Administrator for correspondence preparation and tracking
  • Collect and consolidate information for capability fielding analysis
  • Make recommendations to meet cost, schedule, and performance requirements
  • Represent DES in government meetings, providing feedback, recommendations, and executive-level summaries
  • Prepare briefing materials addressing various aspects such as process, planning, budget, logistics, etc.
  • Attend and prepare briefing packages for weekly meetings, program reviews, and off-site meetings
  • Maintain presentation materials in SharePoint DES knowledge management system
  • Serve as Organizational Operations SharePoint Organization Site Owner (OSO), performing website administration and managing user access
  • Provide backup support for conference room scheduling and video teleconference (VTC) operations
  • Liaise with Network Enterprise Centers (NEC) for teleconference bridges and participant access management
  • Receive and schedule repair requests, coordinating with service providers promptly
  • Serve as alternate Facility Access Control Monitor and maintain facility-related maintenance records
  • Coordinate routine building maintenance and janitorial services with authorized service providers
  • Act as primary point of contact for incoming taskers for DES activities and corresponding with Government officials for review and approval
  • Facilitate stakeholder input for product artifacts and documentation using market research data
  • Enter task information and track progress through acquisition lifecycle, providing weekly updates
  • Administer public financial reports to track and report DES employee compliance with DoD requirements
  • Support intra-agency support agreements and acquisition programs for supplies and service

EDUCATION / CERTIFICATIONS

  • Bachelor’s degree, in lieu of education 1-2+ years of relevant paid experience in administrative support, business analysis, or project coordination/management

PHYSICAL REQUIREMENTS

Work may involve sitting or standing for extended periods of time and typing and reading from a computer screen. The candidate must have enough mobility, including bending, reaching, and kneeling, to complete daily duties in a prompt and efficient manner and that may include lifting to thirty pounds, as necessary.
