DESCRIPTION

Are you an organised, proactive professional with a passion for making a difference? FLOCERT is seeking a dynamic Operations Team Assistant to support our Assurance Scheme Management and Competence Management units in our Operations Department. This is a one-year maternity cover position, offering a unique opportunity to contribute to the Fairtrade movement and gain valuable experience in a multicultural and mission-driven environment.

YOUR QUALIFICATIONS, EXPERIENCE AND SKILLS

  • Professional education in office, business, or commercial fields.
  • First experience as a team assistant is advantageous.
  • Fluency in written and spoken English.
  • Additional languages, especially Spanish, are a plus.
  • Strong communication skills and multicultural sensitivity.
  • Excellent organisational skills.
  • Reliable and careful working attitude.
  • Proficiency in using MS Office products.
  • Flexible, proactive personality with efficient work style.
  • Experience with databases is beneficial.
  • Motivation for and commitment to Fairtrade principles.

Responsibilities:

You will split your time equally between supporting the Assurance Scheme Management (ASM) unit and the Competence Management (CM) unit. Main tasks include:

Assurance Scheme Management unit support (50%):

  • Updating system documentation and arranging translations.
  • Supporting compliance criteria revisions.
  • Entering changes in the checklist designer on the Intact Platform.
  • Preparing required reports for Fairtrade International and other stakeholders.
  • Coordinating, preparing, and following up on team meetings.
  • Assisting with ASM projects and maintaining deadlines.

Competence Management unit support (50%):

  • Updating system documentation and arranging translations.
  • Supporting compliance criteria revisions.
  • Entering changes in the checklist designer on the Intact Platform.
  • Preparing required reports for Fairtrade International and other stakeholders.
  • Coordinating, preparing, and following up on team meetings.
  • Assisting with ASM projects and maintaining deadlines.
  • Administering and maintaining our learning platform “Fusion”.
  • Uploading system documentation and sharing news.
  • Supporting user management and training material development.
  • Handling auditor field evaluations and the CM unit’s email account.
  • Coordinating onsite and online training measures.
  • Supporting the Operations Department peer exchange and ordering materials.
