ORGANIZATIONAL CHANGE MANAGEMENT SPECIALIST

On behalf of our client PROCOM is looking for a Organizational Change Management Specialist for a 6 month contract

Responsibilities:

  • Apply a structured methodology leading and executing change management activities
  • Complete change management assessments (i.e, organizational readiness assessment, stakeholder analysis, change impact assessments, capabilities needs assessment)
  • Develop the change management strategy defining at a high level how much change management is needed and what approach should be taken
  • Use understanding of change management theories (i.e. ADKAR), best practice, OCM experience and perspective, assessment results and change management strategy to develop a customized and actionable, results oriented change management plan
  • Identify, analyze, prepare risk mitigation tactics Identify and manage anticipated resistance
  • Create and execute actionable deliverables for the five change management levers: communications plan, sponsor roadmap, coaching plan, training plan, resistance management plan.
  • Integrate change management activities and budget into IST project plans
  • Evaluate and ensure user readiness Manage stakeholders
  • Support and engage senior leaders - facilitate and build alignment on expectations, accountabilities, change impacts, risks and special tactics
  • Coach leaders and peer advocates to sponsor the change, support staff during the change and support staff in new changed environment.
  • Facilitate and assist sponsor and senior leadership in completing the sponsor roadmap - including activities for sponsor(s) to provide support to project team, develop management sponsorship with critical stakeholders, provide direction and create awareness with impacted people (staff, faculties, students, etc.)
  • Track and report progress of OCM activities and overall status to project team, primary sponsor and critical stakeholders
  • Support transition to the business/operations and project closure activities
  • Develop and execute communication and engagement activities designed to move stakeholders through the stages of change (from unaware to committed); establish two-way communication
  • As needed, plan, mobilize, engage and manage a change agent network comprised of subject matter experts, change advocates, people of influence, leaders and sponsors (objectives include cascading communications, driving adoption and commitment through influence and leading by example, and establishing a feedback mechanism)
  • Support development, coordination and delivery of training designed to provide stakeholders with knowledge, ability, skills and behaviors to work in the new way "
  • The key activities / deliverables within the scope of this project include:
  • Define the specific list of business and process analysis deliverables that covers the scope of the project, identifying the stakeholders who will be part of the creation and validation of each deliverable with Project Manager.
  • Estimate and plan work independently with key stakeholder and project team.
  • Define and document the approach for process analysis.
  • Drive strong stakeholder engagement with relationship building.
  • Work closely with functional analysts and Snr. Business analyst for prototyping, translating business processes, requirements to technical business rules and workflow.
  • Independently lead across campus process analysis and work with key stakeholders to provides business process re-engineering to support the Graduate Admission solution with standardized methodologies.
  • Documenting and/or updating current state business processes and Standard Operating Procedures (manual and system) for administration, departments and facilities.
  • Complete current and future state time in motion studies on core business process activities to determine measurable benefits.
  • Evaluate and promote organizational efficiency through review of organizational structures, workload assessment, standardizing processes and recommending enhancements.
  • Partner with key stakeholders to document business problems and identify process improvements that will create capacity and economies of scale
  • Build out future state processes and standard operating procedures for administration, departments and faculties.
  • Support elicitation, documentation, and prioritizing business and technical requirements with key stakeholders, using future state processes.
  • Experience with process modeling, analysis and design tools and business process management automation.
  • Act as the liaison between business and technology staff, providing the business perspective in the analysis and design of future state solutions
  • Assess stakeholder impacts brought about by changes or new business processes, inclusive of those on shadow systems outside of the Tribal SITS: Vision
  • Trace and validate requirements with appropriate stakeholders to ensure accuracy of documentation, obtaining necessary sign-off from business owner.
  • Ensure process related issues are identified, tracked, reported on and resolved in a timely manner.
  • Creation of sustainment measuring and metrics, to ensure processes are working as intended or changes are documented for future implementation
  • The Business Process Analyst will be accountable to the Project Manager for all work and deliverables assigned.Organizational Change Management Specialist – Mandatory Skills
  • Experience driving or participating in large change and transformation efforts, business optimization initiatives, assessments and reviews
  • Workshop, facilitation or training experience is preferred.
  • Considerable experience working in a post secondary or public sector environment
  • Experience implementing and/or managing solutions that support student services
  • Experience working with multiple business, technical and vendor teams
