Description:

To provide a high quality confidential and highly skilled secretarial and admin service to the Senior Leadership Team consisting of Clinical Director, General Manager, Deputy General Manager and Matron.
To provide administrative support to the CSU team, to assist in the implementation of an efficient and responsive service required to manage the CSU workloads along with the Senior LeadershipTeam, maintaining a complex electronic diary system which can often be subject to change at short notice.
To work with the other PA to ensure cover is available over the working week.

To provide secretarial and administrative support to the CSU senior leadership team:

  • Clinical Director
  • General Manager
  • Deputy General Manager
  • Matron
  • Deputy Matron
  • Service Manager

To provide a senior level of administrative support to the CSU senior leadership team with complex administrative tasks, diary management and minutes associated with the role.
To be responsible for the organisation of complex diaries.
To be responsible for the organisation of events, often including external stakeholders
To act as gatekeeper for the Senior Leadership Team.
Including administration of meetings, booking venues, preparation of agenda/supporting papers, taking formal minutes and taking relevant follow-up action.

To provide full administrative and secretarial service to the Senior leadership team working autonomously, organising own workload to meet deadlines using judgement initiative, tact, diplomacy and observing rules of confidentiality at all times.
To maintain an accurate and workable electronic diary system for the senior leadership team. Also arranging meetings with senior managers, Consultants, and other grades of staff according to priority and clinical need, re-scheduling as necessary. Meetings are also required with visitors from external organisations.
This will require the use of communication and negotiating skills to secure the best rates for room hire, equipment and refreshments, etc as well as overcoming difficulties of diary compatibility with Consultants and senior managers who may be required to attend.
To be the first point of contact for staff and visitors to the CSUospitalsHospitals. Tact and diplomacy will be required when dealing with senior managers and Consultants who may be anxious to resolve certain issues. Visitors will include professionals from other health organisations, complainants, patients or members of the public and their reasons for visiting are varied as well as unexpected.
To receive, prioritise and respond to incoming telephone calls, e-mails, faxed and other communications as required on behalf of the senior leadership team. The information received may be complex and confidential and/or sensitive
