DESCRIPTION

  • Collecting signatures and executing corporate documents, including contracts, board minutes, shareholder resolutions, and tax-related documentation, either in wet ink or using electronic signature platforms like AdobeSign;
  • Managing soft and hard copies of corporate documentation, organizing them in physical and electronic filing systems like SharePoint, ViewPoint, Shared Drive, and Kiteworks;
  • Keeping directors and company records updated on internal databases, trade registers, beneficial owners registers, and other registers as instructed;
  • Performing standard secretarial tasks such as document production, formatting memos, and preparing correspondence based on instructions from associates/senior associates;
  • Actively contributing to improving and streamlining work processes within the team;
  • Assisting in preparing for board meetings, including convening meetings, and preparing board packages;
  • Handling incoming and outgoing mail, legal correspondence, and tax correspondence;
  • Completing administrative forms and following up on their submission;
  • Distributing and organizing legal and tax documents;
  • Assisting in internal matters and addressing ad hoc administrative requests like legalization, apostille, and translations.
