Description:

The Volunteer/Special Events Coordinator is responsible for the coordination of the Volunteer Program and leadership of seasonal Special Events for London Community and Family Services. They also provide business/administrative support to the Executive Director.
Connected by a common mission, they will work collaboratively with other Ministry Unit staff/leads, including leadership of the Corps, to bring the best opportunities and outcomes forward for the people and communities served and for the realization of bringing people to Jesus; promoting opportunities for corps members and volunteers to get involved with supporting individuals/families participating in the programs.

HUMAN RESOURCES

  • In the absence of the Community Outreach Manager, provide direction and support to staff/volunteers under their supervision.
  • Responsible for the leadership and coordination of the volunteer program for London Community and Family Services, including directing the development strategies for recruitment, training, and retention of volunteers.
  • Liaise with THQ/DHQ Volunteer Coordinator to gain an understanding of all Volunteer Policies & Procedures / Best Practices and ensure compliance throughout all London Community and Family Services programs.
  • Provide direction and support to volunteers working within their programs/special events and ensure that they work to achieve the purposes of The Salvation Army.
  • Responsible for preparing the volunteer work schedule for volunteers in programs under their areas of responsibility.
  • Provide support to the Community Outreach Manager and Community Relations Coordinator (or designates) in the recruitment, onboarding, and ongoing supervision of volunteers in their programs.
  • Responsible to ensure that each volunteer position has a clearly defined and up-to-date job description.
  • Develop and maintain a comprehensive volunteer recognition program.
  • Track and monitor volunteer recognition records and plan recognition events.
  • Record, monitor and ensure compliance for all mandatory training, certificates and Policy & Procedure review (i.e., police checks, driver’s abstracts, etc.) for all ministry unit staff and volunteers and identify any training requirements.
  • In collaboration with the management/supervisory team, develop strategies and recommendations for staff and volunteer development.
  • In collaboration with the management/supervisory team, develop and implement approaches that promote staff engagement and retention.
  • Responsible to develop and maintain a positive working relationship with union stewards and aid in creating a labour management culture of mutual respect.
  • Maintain an understanding of the Collective Bargaining Agreement and ensure it is accurately followed.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • University Degree or College Diploma preferably in Community Development, Event Management, Volunteer Management or Business Administration.
  • Ability to provide or willingness to obtain a First Aid/CPR Certification and Non-violent Crisis Intervention and Prevention Certifications
  • Alternate combinations of education and experience may be considered.

EXPERIENCE AND KNOWLEDGE:

  • Minimum two years prior related experience planning and managing successful community initiatives and events in the non-profit sector.
  • Minimum one year experience coordinating and overseeing volunteers.
  • Experience with volunteer database applications (such as Better Impact), design programs (such as Adobe and Canva), Microsoft Office Suite, Teams and SharePoint, with an ability to embrace growing technology needs is required.
  • Experience working with individuals of diverse culture, socioeconomic and ethnic backgrounds.
  • Valid Ontario Class “G” driver’s license with access to a personal vehicle and proof of valid insurance and a copy of a driver’s abstract for review and verification that is satisfactory to The Salvation Army, in its sole discretion, is required.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Excellent communication and interpersonal skills (written and verbal).
  • Strong background building an online presence through the development of engaging social media content using a variety of social media platforms, as well as website development.
  • Strong sense of urgency and proven capability to manage time and multi-task to accomplish multiple and various tasks, with conflicting priorities and timelines.
  • Effectively and efficiently manages relationships, expectations, and concerns, in a professional and courteous manner, and develops and leverages professional knowledge and working relationships for the benefit of the organization.
  • Must display strong attention to detail, and willingness to take initiative.
  • Capable of working independently with limited direction, and meeting deadlines.
  • Ability to work well in a team oriented, collaborative environment.
  • Demonstrate a high level of integrity, good judgment, and maintain appropriate professional boundaries and confidentiality.
  • Demonstrated understanding of, and compliance with, all relevant federal and provincial legislation, e.g., the Employment Standards Act, Human Rights Act, Occupational Health and Safety, WHIMS, Ministry of Labour, etc.
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening.
  • Ability to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.

Responsibilities:

PROGRAM AND SERVICE RESPONSIBILITIES

  • Provide oversight and leadership to relevant special/seasonal events (such as, but not limited to, Christmas Assistance Program and Summer Camp), ensuring ministry and program objectives are consistently met within Salvation Army mission, vision, policies, funder expectations and all legal requirements.
  • Support the Executive Director and other members of the management team in achieving the vision, goals and objectives of London Community and Family Services.
  • In collaboration with the Executive Director and other members of the team, research, plan, develop, prepare and deliver creative and innovative programming designed to address community needs, ensuring ministry objectives are consistently accomplished.
  • Support the recruitment and registration of children and youth for Salvation Army provincial camping programs and strive to develop connection with these families; working collaboratively with city-wide Corps to organize pre-camp BBQ.
  • Ensure follow-up with children/youth who attend Salvation Army summer camp programs, including their families, in order to build relationships and establish active links with the church and its mission and ministries.
  • Responsible for ensuring all aspects of the Christmas Assistance Program are well planned and executed, assigning responsibilities to other members of the team as applicable.
  • Ensure programs/events provide opportunities for corps members to become involved and develop ongoing relationships with and support for individuals/families participating in the programs.
  • Ensure that staff and volunteers work together to achieve the purposes of the organization and enhance the ministries, mission, and vision of The Salvation Army.
  • Ensure clients are being referred to the Corps Officer (or designate) for pastoral and spiritual guidance/support and that information is being shared with clients regarding church programs.
