JOB DESCRIPTION

Payroll Analyst
Location: Based in Singapore, Marsiling office

POSITION SUMMARY

To ensure timely and accurate processing of all pay cycles for various APAC countries such as Singapore, Malaysia, Vietnam, Indonesia, Thailand, Philippines, etc. in both in-house and outsourced environment.
This position interacts with various levels of personnel both inside and outside the company. That interaction requires good communication skills and judgement, tact and diplomacy with internal and external customers in troubleshooting problems and communicating status. Effectiveness in this role requires a thorough working knowledge of relevant payroll processes and systems, policies and procedures. Accuracy is required in performing all functions of this position. Initiative and organisation skills are valuable to ensure the timely completiona of a large volume of work, within short timelines.
The position reports to the Payroll Supervisor.

EDUCATION

  • Bachelor’s degree / diploma holder

EXPERIENCE

  • 3-5 years’ relevant experience in payroll with minimum of 1 year Singapore payroll experience in MNC or Shared Service environment.
  • Strong knowledge of payroll and relevant tax laws and legislation, as well as clear understanding of other statutory requirement in various APAC countries.
  • Payroll working experience for processing end to end payroll is preferred.
  • Knowledge of Sage EPE system, e-Cirtrix clocking system, Workday system and Service Now ticketing system is an added advantage

KNOWLEDGE, SKILLS, ABILITIES

  • Excellent communication skills (verbally and email) with the ability to effectively interact and communicate to all levels, customers, vendors and primarily with employees, line managers, HR partners and HR Operation Team.
  • High level of attention to detail and strong customer commitment to complete tasks accurately and in a timely manner.
  • High standard of confidentiality and compliance, in terms of private and confidential data management, documents and process control
  • Self-motivated, accountable for deliver quality results per given timeline.
  • Team player who can be dynamic and flexible should be the situation require this.
  • Good command of MS-Office especially with MS Excel.

Responsibilities:

Plan, coordinate and manage end-to-end payroll processes to ensure that payroll cycles, posting, costing and accounting deadlines at multiple locations are adhered to by all parties.
Manage pre-payroll activities (e.g., liase with HR or HR Ops when needed, payroll calendar, etc.)
Process all payroll related documents (e.g., timesheets, new employee forms, terminations, etc.)
Review all payroll reports (pre and post payroll payments)
Review/prepare of post payroll reports (e.g. payslips, GL files, etc.)
Initiating payroll payments within online banking system for payment
Preparation of payroll reports (ie Long Service Leave and Annual Leave)
Ensure that all payroll transactions are processed accurately and timely
Responsible for accurate and timely filing and payment of statutory payroll withholding taxes/social security contributions to relevant government authorities including third party payments.
Prepare payroll reports
Provide comprehensive and timely responses to employees and managers, in accordance with Service Level Agreement
Independently analyse and resolve complex payroll issues.
Independently analyse complex payroll calculations and execute solutions that meets statutory regulations.
Resolve escalations by providing root cause analysis and corrective action for complex or non-routine situations
Liaise with vendors and work on solutions when needed.
Responsible to update and align standard operating models including standard payroll report formats, SOP, checklist, payroll calendars, record keeping etc.
Interpret, analyse and apply statutory rules, compliance regulations and corporate policy to ensure pay is accurate.
Keep abreast with payroll regulatory changes, review and analyze tax and legal regulations, identify issues/implications affecting company and employees and update related payroll process
Assist in audit operations and implement audit recommendations
Develop controls and procedures to ensure compliance with policy
Provide back-up support to other team members as required.
