We are looking for a People and Culture Coordinator to work with our People and Culture Department to help us continue in our mission to serve our community with Kindness, Passion, Courage, and Teamwork.
Reporting to the Manager, Talent and Organizational Development. The People & Culture Coordinator supports organizational operations by cultivating and maintaining strong client relationships while providing a high level of excellent service. This role is responsible for coordinating, administering, and assisting in the evaluation of people and culture services. Areas of involvement include recruitment, orientation/on-boarding, record/file management, training, policies and procedures and management of data in various P & C related systems and benefits administration.

QUALIFICATIONS

  • Successful completion of college diploma in Human Resources Management.
  • Minimum of three (3) year of related experience in Administrative and/or Student Management, and/or Human Resources or a related field
  • Highly resourceful, solution-oriented and excellent problem-solving skills
  • Strong knowledge of MS Office (Outlook, Word, Excel, PowerPoint, etc.)
  • Superior customer service and interpersonal skills
  • Excellent organizational and time management skills with the ability to be flexible and work within tight time constraints in a fast-paced environment
  • Ability to work effectively and independently in a team setting with minimal supervision
  • Demonstrated knowledge of relevant legislation including Employment Standards Act, Ontario Human Rights Code, Accessibility for Ontarians with Disabilities Act, Occupational Health & Safety Act, Workplace Hazardous Materials Information System and Ontario Labour Relations Act (OLRA)
  • Available to work occasional evenings or weekends at special events and meetings
    Hours of Work: Monday to Friday, 37.5 hours per week

Responsibilities:

  • Accurately manages employee life cycle in accordance with hospital policies, collective agreements, legislative guidelines, and procedures with a high level of attention to detail.
  • Manages employee files in accordance with policies and procedures. Ensures employee files are complete.
  • Conducts routine audits of benefits, new hire files and other audits as required.
  • Ensures accurate entry of new enrollments, status updates, package updates, and terminations for all benefit programs including Benefit Providers and Healthcare of Ontario Pension Plan (HOOPP).
  • Provides employees with applicable benefit packages and assists with any questions/inquiries.
  • Maintains Voluntary Life Insurance tracker including calculation of annual updates to premiums and subsequently updating system (Meditech) profile and preparing correspondence to notify employees of any changes to premium rates.
  • Prepares Paid Up Life Insurance policies for benefit provider.
  • Tracks employee leave information and completes applicable system changes through the progressive stages of Short-Term Disability (STD), Employment Insurance and Long-Term Disability (LTD).
  • Prepares compliance reports for mandatory training and performance reviews.
  • Prepares reports as required.
  • Manages Mandatory Training and Education and Tuition Assistance programs ensuring employees are eligible and have provided all required documentation, facilitates appropriate approvals, tracks training, and liaises with Accounts Payable for reimbursement.
  • Reviews policies and procedures and provides feedback.
  • Assists in the facilitation of labour-management meetings; prepares agendas and minutes.
  • Facilitates and actively participates in various P&C initiatives such as job fairs, open house events, wellness, recognition events etc.
  • Prepares letters for mass distribution to active, leave and terminated employees.
  • Orders office supplies through suppliers when required.
  • All employees of Headwaters Health Care Centre (HHCC) are responsible to contribute to a transparent culture of patient and staff safety by adhering to and abiding by patient and staff safety policies and procedures set by HHCC.
  • Performs other related duties as assigned
