Opportunity
The permit clerk works directly with the public by reviewing building plans and providing information with respect to building permit requirements and supports the Development Services department administratively as required.

Responsibilities

  • Assist the public with building permit submissions by explaining the application process and providing the necessary forms and documents required for obtaining a permit.

• Intake and pre-screen applications for completeness and preliminary compliance, follow up with applicants as required. • Review building and site plans, determine building areas, heights, setbacks, lot coverages, etc. in order to calculate required fees and charges and show compliance with the provisions of the Township of Muskoka Lakes zoning by-law and other applicable law.

  • Create building permits and organize application files for signing by the Chief Building Official.
  • Maintain records on the Municipal Information System including records on matters regarding building permits, applications received, inspection reports and certificates issued.
  • Respond to lawyers and other client correspondence regarding permit and property information.
  • Work with the building inspectors to collect, record and maintain information regarding orders issued and subsequent prosecutions.

• Work with the Sewage Inspector to manage the records related to the sewage system maintenance inspection program. • Accept various forms of payment, and large sums of money at the counter for processing building permit and inspection related fees.

  • Provide assistance and information to the public regarding Township of Muskoka Lakes by-laws in person at the counter, by telephone and by email. Book inspections as needed.
  • Follow records management program (TOMRMS) for all records generated and assist others in the department as required including with annual document purge or scanning.
  • Participate in ongoing training to stay current with skills and legislation.

Knowledge, Skills and Experience

  • Post-Secondary education in a related field or relevant experience.
  • Minimum 2-3 years’ clerical or administrative experience.

• Experience reading building and site plans. • Strong numeracy to perform a variety of calculations.

  • Strong computer skills, including Microsoft Word, Excel and Outlook.
  • Excellent interpersonal, customer service and communication skills, both oral and written.
  • Strong organizational, time management and problem solving skills.
  • Demonstrate strong judgement, decision making and analytical skills.
  • Positive attitude and the ability to work independently and in a team environment.
  • Ability to manage confidential information and to exercise discretion and sound judgment regarding sensitive or confidential issues and to project a professional image.
