Description:
POSITION SUMMARY
In support our company’s CEO, the Personal/Administrative Assistant’s responsibilities will include managing calendars, making travel arrangements, and preparing meeting minutes. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to the CEO and other partners. While primarily an administrative support role, some personal assistant responsibilities will exist as needed. Qualified candidates who are fluent in written and spoken Hebrew will be given preference.
REQUIREMENTS
- Adherence to the Company’s mission and values in all aspects of job performance.
- Work experience as an Executive Assistant, Personal Assistant or similar high-level support role.
- Excellent MS Office knowledge.
- Outstanding organizational and time management skills.
- Strong analytical thinking and initiative.
- Familiarity with office tools and equipment (e.g. e-calendars, scanners and printers), and ability to perform basic troubleshooting.
- Excellent verbal and written communication skills.
- Discretion and confidentiality.
- High School diploma.
- Personal Assistant (PA) diploma or certification is a plus.

Responsibilities:
- Act as the point of contact among CEO and partners, employees, investors, and other external stakeholders.
- Manage sensitive matters with a high level of confidentiality and discretion.
- Manage information flow in a timely and accurate manner.
- Answer telephones and act as receptionist for the Executive Office.
- Responsible for calendar management, including scheduling and arranging meetings /appointments, travel, and lodging.
- Take accurate and comprehensive minutes during meetings.
- Track and manage deadlines, budgets, and other project-related details.
- Coordinate with Office Manager for meeting locations and supply needs.
- Track daily expenses and prepare weekly, monthly or quarterly reports.
- Format or draft information for internal and external communication – memos, emails, presentations, reports.
- Organize and maintain the CEO filing systems, paper and virtual.
- Email: Delete spam and junk mail each day and direct CEO’s attention to any emails that need to be addressed.
- Perform other personal assistant and administrative responsibilities as assigned.
