Who we are looking for

  • Bachelor’s or master’s degree, or minimum 5 years’ experience in a similar role;
  • Native speaker of Dutch and/or French with an excellent command of English (spoken and written) and with very good Microsoft Office skills;
  • Ability to prioritize with good organizational and communication skills;
  • Eye for detail and quality, solution minded, autonomous, flexible, helpful and reliable

Responsibilities:

ROLE PURPOSE

We are looking for a full-time personal assistant (37.5 hours/week) to provide vital support to a small and dynamic team of IP and tech lawyers in the Brussels office of one of the world’s leading law firms. The department focuses on dealing with legal questions at the intersection of law and technology.
You will interact and cooperate with highly qualified lawyers in a demanding and collegial working environment, allowing them to focus on their legal work. ROLE AND RESPONSIBILITIES

You will be the lawyers’ first port of call and their “rock” for a wide variety of queries and requests, and as such, your role involves a multitude of tasks:

  • Extensive and proactive email and calendar management. This includes managing and filtering incoming mails and telephone calls, scheduling appointments and conference calls, booking meeting rooms and restaurants, and liaising with our dedicated agent for travel and hotel reservations;
  • Preparing, processing and virtual filing of correspondence, legal documents;
  • Final editing of texts in impeccable Dutch, French and English;
  • Creating high-impact presentations for meetings and seminars;
  • Liaising with our marketing department for the organisation of client events and the preparation of mailings; follow up of the billing process with our accounting department;
  • Mature attitude and resilience, with the drive to show initiative and to get things done, and the ability to cope with an extensive and variable workload.
