Description:
Personal Assistant
We’re currently recruiting for a Personal Assistant to join our Company Secretariat Team. This role will involve responsibility for providing administrative support to ensure the smooth running of the day-to-day operations of the Company Secretariat and office of the Group Legal Director and Executive Assistant to our CEO/CFO.
Location: Flexible, with hybrid travel to London
Contract: Permanent, full-time and able to consider part-time working
Responsibilities:
As a Personal Assistant, your day-to-day responsibilities will include, but not be limited to:
- Coordinating starters and leavers in the team, including ordering equipment and updating distribution lists.
- Managing invoicing, including raising purchase orders and ensuring Procurement procedures are adhered to.
- Supporting with planning and scheduling of Plc Board and Committee and Executive Committee meetings, including off-sites, maintaining diary invites, liaising with relevant attendees.
- Responsibility for Plc Board and Committee and Executive Committee meeting logistics including travel, arranging lunch/dinners, liaising with other EAs and PAs as necessary.
- Responsibility for ensuring timely review and payment of the Board’s expenses in compliance with the Kier and Non-Executive Directors Expense Policy.
What are we looking for?
This role of Personal Assistant is great for you if you have:
- Previous experience within a PA/EA role and effective written and verbal communication skills.
- Experience of supporting leadership and fast paced teams
- An ability to influence and communicate effectively across a range of audiences internally and externally.
- An ability to demonstrate initiative and solve problems – taking accountability for resolution and working without direction.
- IT literacy in the use of Office 365: Word, PowerPoint and Excel.
- Understanding of the Company Secretariat and Legal environment would be preferred, but not essential.
- An ability to manage confidential information and maintain high levels of professionalism.
