Are you an experienced Personal Assistant looking for a 5-week role in the academic sector? Do you excel at managing complex schedules for a busy Head of Department?
Signature Recruitment is thrilled to partner with a distinguished London university to recruit a PA for the Head of the Department. This temporary, full-time position has an immediate start and offers a hybrid working model. There is a minimum of three days a week on campus, with flexibility for remote work on Mondays. This role as Personal Assistant is a fantastic opportunity to directly support the dynamic Head of Department, ensuring the efficient management of their complex requirements. With a busy schedule that includes frequent travel, you will be instrumental in organising travel arrangements, managing academic commitments, and providing comprehensive secretarial support. Your contribution will ensure the Head of Department can focus on leading advancements in research and education.

PERSONAL ASSISTANT KEY SKILLS:

  • Demonstrated experience as a Personal Assistant, ideally within the education sector.
  • Exceptional organisational skills, capable of managing multiple tasks and deadlines.
  • Excellent communication skills, with a personable nature that allows for effective interaction across various levels of the university.
  • Competence in Microsoft Office and familiarity with financial administration processes.

Responsibilities:

  • Serve as the primary liaison for the Head of Department, expertly managing diary entries and correspondence.
  • Organise comprehensive travel plans and accommodations, ensuring seamless arrangements for both the Head of Department and their guests.
  • Undertake financial administrative tasks, including but not limited to raising purchase orders and processing expense claims.
  • Prepare the Head of Department for all engagements by collating briefing documents and necessary materials.
  • Manage and coordinate departmental meetings, ensuring all logistical aspects are flawlessly executed.
  • Maintain the professional online presence of the Head of Department and keep their academic portfolio current.
  • Provide secretarial support to maintain the smooth operation of the Head of Department’s office, including document proofreading, slide show preparation, and filing system management.
