Responsibilities:

ROLE DESCRIPTION

This is a full-time on-site role as a Personal Assistant to a high-performing Partner at Prosperity Advisers Group in Newcastle, NSW. The Personal Assistant will provide executive administrative assistance, manage diaries, and handle clerical tasks. Effective communication skills are essential to succeed in this role.

KEY DUTIES

  • Provide administrative support on a priority basis
  • Schedule meetings and monitor the Director(s) diary
  • Maintain Director(s), inbox and calendar.
  • Attend to matters requiring attention or refer them to the appropriate authority within the company in the absence of the Director
  • Screen and distribute/action incoming correspondence
  • Ensure phone calls/messages are dealt with on a timely basis
  • Coordinate weekly and monthly meetings, which include collating the meeting information, preparing the agenda and action lists and then distributing attendees on behalf of the facilitator.
  • Assist in the monthly billing process
  • Preparation and presentation of correspondence and reports
  • Develop and maintain spreadsheets and analysis on specific projects
  • Liaise with stakeholders to ensure efficient delivery to the client (internal or external)
  • Coordinating and booking travel and accommodation as required
  • Organising of events – internal and external in line with Marketing policy and branding.
  • Preparation of marketing collateral in line with Marketing policy and branding
