Description:

Hire Resolve’s client is seeking a highly organised and proactive individual to fulfill the role of Personal Assistant to the Director. The successful candidate will provide comprehensive administrative support to the Director, ensuring smooth operation of their daily activities and facilitating effective communication within the organisation. The ideal candidate will be resourceful and capable of managing multiple tasks with precision and professionalism.

REQUIREMENTS:

  • Proven experience as a Personal Assistant or similar role, preferably supporting senior executives.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks effectively.
  • Strong written and verbal communication skills, with a keen eye for detail.
  • Finance Knowledge Advantageous
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently with minimal supervision, while also functioning well in a team environment.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Tertiary qualification preferred.
  • Reliable transport is required.

Responsibilities:

  • Managing and Scheduling the Director’s online meetings.
  • Manage International Travel arrangements when needed.
  • Keep up to date with general communication on all platforms.
  • Property Administration:
  • Assist with Commercial and Residential Property Maintenance and getting quotes, reconciling monthly rentals received and statements.
  • Maintain up-to-date and accurate records of properties, including lease agreements, property details, and tenant information.
  • Coordinate property inspections and address maintenance issues promptly.
  • Work closely with vendors and maintenance teams to ensure property upkeep.
  • Collaborate with property owners, tenants, and vendors to address inquiries and resolve issues.
  • Timely preparation of legal files for debt handover and attention to detail in putting the necessary information together.
  • Assist with the maintenance and running of internal staffing offices.
  • Debt Collections and actively engaging slow-paying tenants.
  • Collection reports
  • Liaising with Legal and Senior Management on approaches to trying to get slow-paying tenants to pay.
  • Filter and relay messages, requests, and information effectively and in a timely manner.
  • Conduct research and compile data as requested by the Director.
  • Sourcing for internal candidates as required.
  • Prepare reports and stats.
  • Assist in the planning and execution of special projects and initiatives as assigned by the Director.
  • Coordinate project timelines, tasks, and deliverables to ensure timely completion.
  • Collaborate with team members to gather necessary information and resources for projects.
  • Undertake ad-hoc administrative tasks to support the smooth functioning of the organisation.
