Supporting the PGIM Real Estate Chief Operating Officer, International and Head of Global Investor Services. This role will also support RealAssetX and Operational Risk Teams based in the UK.

What you will do

We are seeking an experienced and highly organised Executive Assistant to provide comprehensive administrative support to our Chief Operating Officer, International and Head of Global Investor Services in a dynamic and fast paced environment. This role will also support our RealAssetX and Operational Risk teams based in London. The job holder will fulfil the following main responsibilities:

  • Provide administrative support to executives and real estate professionals, ensuring efficient operations and communication.
  • Coordinate and organise internal and external meetings, including team meetings, one to ones, conference calls and annual review meetings.
  • Organise domestic and international travel (flights, accommodation, taxis); this includes: checking timetables, liaising with the travel agent, creating itineraries using Word; checking visa requirements as needed.
  • Ensure all travel and event arrangement align with company policies and budgets and conduct compliance checks of expense sheets against the Company Travel and Expense policy.
  • Serve as a liaison with internal/external stakeholders, always maintaining professional and confidential communication.
  • Assist with the coordination of cross-departmental activities and ensure timely completion of tasks.
  • Manage expense submission and reconciliation; this includes submitting expenses for company credit card statements, gathering all receipts, and liaise with third parties to obtain copies of any missing invoices where applicable. In addition, the post holder will be required to convert currencies as needed prior to expense submission; checking invoices from suppliers and liaising with the UK based Accounts department.
  • Liaise with the IT department to manage and resolve IT/mobile device issues.
  • Scanning, printing, and binding of documents and any documentation in preparation for internal/external meetings.
  • Provide cover/assistance to other executive assistants in the wider team, as required.

  • Experience of working in financial services and supporting senior executives and managing complex calendars, travel arrangements, and large-scale events
  • Experience of collaborating with a team of EAs
  • Confidence to make decisions and react to requests in a timely and professional manner, escalating issues where appropriate.
  • Proactive ability to multi-task and work seamlessly and operate autonomously.
  • Strong organisational and management skills, with the ability to prioritise efficiently between competing demands.
  • Excellent time management skills, with the ability to plan/coordinate tasks to ensure deadlines are met.
  • Strong written and verbal communication skills
  • Team player: coordinating with all parties across the organisation and externally to foster and maintain effective relationships and provide added support.
  • High level of discretion and confidentiality
  • Advance use of Microsoft packages (particularly PowerPoint, Word, and Excel skills) as well as Microsoft Access.
  • Ability to create and enhance presentations/spreadsheets, paying attention to the visual aspect of the presentations.
  • Drive to understand and develop deep knowledge of PGIM and the industry overall.
