Portfolio Resource Coordinator
We are currently recruiting a Portfolio Resource Coordinator based out of Prairies Regional Headquarters at Calgary International Airport.

Responsibilities:

  • Address resource needs, filing open shifts, and reducing overtime through strategic initiatives
  • Provide administrative support for the portfolio, which includes ensuring accurate data entry into Paladin’s Employe Resource Planning Software, including administration of requests from Screening Personnel related to scheduling
  • Work closely with People & Culture Department (Talent Acquisition and Training & Development) to track the readiness and expedite the deployment of new Screening Officer resources in the shortest amount of time possible
  • Construct Screening Personnel Schedules for all checkpoints as dictated by the TWH Resource Deployment Schedules
  • Implement schedules for Non-Screening Personnel including Service Delivery Managers and Facilitators
  • Coordinate the start of shifts for Screening Personnel and Non-Screening Personnel ahead of checkpoint openings
  • Strategically identify open shifts/open lines and work with Field Management and Operations Managers to ensure each checkpoint schedule adheres to contractual obligations
  • Ensure the appropriate staffing levels during peak and non-peak periods
  • Allocate the right number of Screening Officers to each checkpoint
  • Provide oversight of the Break-Relief Administrators working at screening checkpoints
  • Routinely cross-reference data from CATSA’s TAS against Paladin’s ERP to identify discrepancies for investigation
  • Schedule or cancel any shifts in the daily schedule prescribed to Paladin by CATSA
  • Function as a Call-Centre Agent for scheduling related inquiries on a 24/7 basis, including responding to phone calls and electronic communications
  • Administer and perform necessary data entry related to a variety of scheduling related updates
  • Administer Paladin’s eHub application in accordance with Standard Operating Procedures for how open shifts are made available to Screening Personnel
  • Perform bi-weekly scheduling lockdowns in coordination with Payroll & Billing Division of Paladin’s Finance Department
  • Work within a dynamic team environment with multiple operational stakeholders, including Operations Leadership, People & Culture and Quality Assurance
  • Complete daily and weekly reports to send out to the management team
  • Perform other duties as requested to assist with corporate and/or branch needs
