Our client, a well respected Gynaecology and IVF/Fertility specialist based in North Lakes Queensland, is actively seeking to appoint a Practice Coordinator to support the efficient running of patient clinics. This is a permanent position offering 4.5 days Monday to Friday (have Friday afternoon off!) Hours of work will be 7.30am to 4.30pm however, there is flexibility for 8am starts for the right candidate. The client travels to Caboolture once weekly and North West Private once monthly for clinics but uses the staff at these Practices for meet and greet services.
The rooms at North Lakes are shared with other specialists – Orthopaedic Surgeon, Physiotherapist, Neurologist and Dentist. You will provide meet and greet services to the patients for these specialists as well as your other responsibilities.
This position would suit an experienced Medical Receptionist/Secretary who has proven skills working within a busy patient clinic of a Private Surgical Practice.

Responsibilities:

KEY DUTIES AND RESPONSIBILITIES WILL INCLUDE (BUT NOT LIMITED TO):

  • Meet and greet patients vising the rooms of all specialists at the Practice
  • Taking all incoming telephone calls and assisting patients with general enquiries
  • Preparing and running patient clinics, including patient appointment bookings, data entry of patient details into Clinic to Cloud, reviewing upcoming clinics and ensuring all patient records are in order before the day of clinic, appointment reminders, attending to patient emails and handling all telephone enquiries
  • Assist in the day-to-day operations of the Practice to ensure efficient service delivery
  • Support the practice manager with general administrative tasks, providing assistance in managing patient records and correspondence

IN ADDITION TO THE KEY DUTIES AND RESPONSIBILITIES, CANDIDATE MUST BE ABLE TO DEMONSTRATE:

  • Proficiency in computer skills, including knowledge of Clinic to Cloud medical software for patient management, Medical Objects software and Eclipse for patient billing
  • Have at least 2 years previous experience in a similar position within a surgical specialist practice
  • A strong desire to provide a high level of service to the patients of the practice
  • Immaculate personal presentation
  • An exemplary telephone manner and a compassionate demeanour
  • Must be a team plater with exceptional communication and interpersonal skills
  • Demonstrate you are proactive with strong time management and organisation skills along with the ability to priorities you workload efficiently
  • Must be able to multi skill and work under pressure
