JOB DESCRIPTION

It’s an exciting time to be part of the IFF Operations team at our Isando location! We have a great opportunity within our Logistics team, supporting Operations.
As the Procurement/Distribution Administrator, you will coordinate all day to day Dispatch Functions related to Shipping of finished goods, on time. You will regularly communicate with Customer Service and Production staff as needed to achieve the plant goals in on-time performance.

Responsibilities:

KEY RESPONSIBILITIES:

  • Daily running and management of Zoogn report - Used for tracking and managing Sales orders, for on time delivery to customers. Creation of delivery notes used in Dispatch for picking process.
  • Monitor shipments with DHL and other carriers to meet plant goals of on-time shipment performance.
  • Coordinate with Customer Service on order changes, rate quotes, late, or early shipments.
  • Verify that all shipments meet customer specific requirements for documentation, labeling, packaging and shipment preparation.
  • Ensure new or returned material is received into inventory within 24 hours.
  • Ensure proper and complete PGI of all materials shipped.
  • Complete working knowledge of all Shipping and Receiving SAP functions and transactions.
  • Address problem shipments and investigate customer carrier collection queries.
  • Coordinate shipments to offsite warehouse storage and outside Tollers when needed
  • Investigate and resolve logistics-related SAP Notifications.
  • Perform any other task or duty as required and within Scope.
  • Manage customer Invoices and Proof of Deliveries
  • Send Requested documents to Accounts Payable for Audit Purposes
  • Manage Accounts queries
  • Environmental Awareness – To attend training session held by EHS Rep.
  • Perform such other tasks as may be assigned from time to time.
  • Run daily and monthly reports to confirm all Invoices have been processed

THIS ROLE WILL REQUIRE THE FOLLOWING EXPERIENCE AND SKILLS:

  • At least 2 years relevant work experience, within Procurement and/or Distribution
  • Computer literate with good working knowledge of MS Office
  • Strong interpersonal, negotiation and facilitation skills (verbal and written)
  • Ability to work productively in team and matrix management environment
  • Good grasp of customer service in purchasing
  • Independent-thinker, pro-active, results-driven within independent work environment context
  • Exposure in food Safety/Good Manufacturing Practice preferably in Food Manufacturing environment
