Description:

Support Ontario Youth is looking to hire a Program Administrative Assistant, to help support our driven, focused, and ever-expanding team. We welcome the experience of someone who can implement processes and systems to stay effectively organized. Someone who is responsible, reliable, and highly professional, that’s also enthusiastic and a tenacious team player
This is a full-time position, Monday to Friday, and in person at our Etobicoke office, (when work might occur outside of office hours, your schedule will adjust accordingly). Candidates must be a commutable distance from our office.
Your ability to multi-task, while managing your own work with independent individual schedules is essential to this position. You need to be resourceful, adaptable, organized and a good problem-solver who can handle a changing and growing environment with ease. You are also efficient and comfortable taking direction from and supporting multiple team members. You also know that clear communication, collaboration, and teamwork is the key to a successful workplace.

QUALIFICATIONS AND SKILLS:

  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
  • Detail-oriented and able to work effectively with tight deadlines
  • Comfortable working autonomously with minimal supervision
  • Navigate formal and informal communication channels with finesse
  • Superior organization skills, ability to coordinate calendars of multiple staff and dedication to completing projects in a timely manner
  • Strong communication and customer service skills, must be comfortable making calls and comfortable talking on the phone
  • Able to work a flexible schedule
  • Exposure to the skilled trades environment would be an asset
  • Experience in Human Resources or Business Administration is preferred

Responsibilities:

  • Supporting Program Managers with trade specific apprentices, employers, and association relationships while providing wrap-around-support to all parties.
  • Supporting Program Managers with onboarding and registering new apprentices within the apprenticeship system
  • Responsible for managing your own workflow to get the job/task done efficiently and in a timely manner
  • Assist program managers with tasks related to apprenticeship, onboarding, document collection, recruitment and maintaining apprenticeship records within a CRM.
  • Implement and monitor apprentice programs as directed by program managers and maintain and see those programs through to completion.
  • Manage external communications in partnership with Operations Support Coordinator (newsletters, social media, and emails).
  • General administrative duties including but not limited to answering phone and email inquiries, organizing filing system, preparing event materials, and handling requests or complaints in a professional manner.
  • Occasional travel to support events or industry related functions
  • Additional tasks as assigned on an ad hoc basis
