ABOUT US

The Office of the Registrar (OOR) fosters a culture of student service excellence and is a key contributor to the overall student experience at Western, from the initial point of contact with prospects through to graduation and beyond. Within the OOR, the Undergraduate Recruitment and Admissions Office ensures successful achievement of Western’s undergraduate enrolment goals and strategic plans for growth, internationalization, and diversity by advising and supporting prospective students throughout the application and admission cycle.

QUALIFICATIONS

Education:

  • University Degree, preferably from Western University

Experience:

  • 3 years related experience in a customer service and team-oriented office environment
  • Experience with PeopleSoft Higher Education System and document imaging software is preferred
  • Previous experience in admissions preferred

Knowledge, Skills & Abilities:

  • Excellent verbal and written communication skills including the ability to deal with upset clients, and sensitive and confidential situations in a professional and courteous manner
  • Ability to write clear, concise procedural documentation
  • Knowledge of the Ontario High School education system, post-secondary system, and university environment
  • Ability to understand and communicate complex ideas orally or in writing, and understand customer needs and expectations while providing excellent customer service
  • Initiative for consultative review and evaluation of work processes along with the associated ability to implement changes for ongoing improvements to services within the area
  • Excellent organizational skills, attention to detail, and the ability to balance competing priorities
  • Ability to maintain confidentiality and treat sensitive information with discretion
  • Ability to establish rapport with people from diverse backgrounds
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Ability to multi-task and maintain an organized and effective personal work environment
  • Adapts readily and effectively to changing priorities and demands
  • Strong mathematical and analytical skills to complete accurate calculations
  • Ability to perform in an open office with demonstrated ability to deal with frequent distractions and interruptions while processing a high volume of data and inquiries
  • Ability to process large amounts of information and input data into databases with a high degree of speed and accuracy, and follow formal business practices with high attention to detail
  • Intermediate proficiency required in Microsoft Office with the ability to learn quickly and adapt to new policies, procedures and technology in a rapidly changing environment
  • Familiarity with software applications used by Western preferred – e.g. PeopleSoft
  • Ability to work independently with little supervision and effectively as a member of the team to achieve department goals
  • Familiarity with the university environment including first entry programs and admission policies would be an asset

Responsibilities:

The Program Assistant is responsible for the admissions of undergraduate, domestic and international applicants to the University’s undergraduate degree programs and to assist in the associated recruitment process. The Program Assistant ensures that the University’s admission standards are met and maintained through exemplary customer service, the adjudication of applicants, and the implementation of Senate policies governing admission and transfer credit.
