JOB BRIEF

The Program Coordinator provides program planning and implementation support to the School of Continuing Studies.

Reporting to the Manager, School of Continuing Studies (SCS), the Program Coordinator provides program planning and implementation support to the School of Continuing Studies. The Coordinator works within the SCS team and across campus to improve the experience of learners in accessing and enrolling in courses and ongoing learning opportunities. The Coordinator works to animate marketing, institutional and industry partners that increase the awareness of the positive impact SCS courses have on the creative professional and lifelong learner.

Summary of Responsibilities:

  • Oversee curriculum mapping and scheduling for SCS courses, micro-credentials, and certificates
  • Coordinate with SCS instructors, Studio Services, IT Services, Safety & Security Services, Room Bookings, and the Student Wellness Centre for course planning and implementation
  • Coordinate the implementation of external partnerships with other post-secondary institutions and industry partners
  • Coordinate SCS Marketing and Communications, including email marketing campaigns (using Envoke software), managing social media, tracking metrics, outreach with external organizations, and other marketing initiatives
  • Assist the Manager in the hiring of SCS work study students; supervise SCS work study students
  • Act as Secretary to the Continuing Studies Senate Committee, including booking meetings, preparing documents, and recording minutes
  • Coordinate the SCS Creative Professionals Network (an SCS alumni group)
  • Help maintain the SCS registration system, Modern Campus, including student and instructor records, and managing reports; maintain SCS web content, including updating course information, policies, online documents, and promotional materials
  • Help respond to and resolve inquiries from students, faculty, staff, and the public, and redirect inquires as required
  • Provide training for SCS staff in the use of the Modern Campus registration system and document processes and manuals pertaining to Modern Campus workflows
  • Contribute to the development of diversity, equity, inclusivity, and accessibility (DEIA) strategies throughout all programs, services and communications.
  • Assist the Manager and other SCS team members in contributing to the successful operation of the SCS, including the implementation of special projects

Qualifications:

  • Undergraduate degree in a related field (i.e. Art or Design), or equivalent; Master’s degree an asset
  • A minimum of three (3) years of administrative work experience, preferably in a post-secondary art and design continuing educational environment dealing with student and/or faculty issues
  • Familiarity with adult education and learning and development programs
  • Experience with course planning and scheduling, program implementation, and post-secondary teaching is a strong asset
  • Experience implementing marketing initiatives
  • Experience with the Modern Campus registration system and Canvas LMS is considered an asset
  • Experience supporting University governance committees
  • Experience in coordinating partnerships between post-secondary institutions, industry partners or community organizations
  • Strong computer skills with a working knowledge of all Microsoft Offices applications, database applications, graphic design software, and web design software (e.g. Adobe InDesign, Adobe Photoshop)
  • Mathematical and accounting abilities; excellent writing and editing skills
  • Excellent interpersonal, communication, organizational, and analytical skills
  • Demonstrated attention to detail, and the ability to prioritize tasks and meet deadlines
  • Demonstrated ability to take initiative and work independently and participate collaboratively in a team environment
  • Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff, and faculty

Compensation: OPSEU Unit I, Appendix A, Grade A4; $57,486.45 to $75,566.13 per annum
Hours of Work: Monday to Friday, for a total of 35 hours per week.
