Description:

To work collaboratively and co-operatively with others to help develop a workforce with the skills, knowledge, and competence necessary to deliver safe effective patient care and to enhance the quality-of-service delivery. To contribute to the Education, Training and Development strategy which will be effective in its support of learning and development activities. To provide an efficient and high standard administrative and secretarial service to the Department Manager and Trainers to meet the training needs of the Trust. Working to continually develop the Learner Management System(s) and other office/training procedures and to be responsible for the timely and accurate processing of learner documentation and administration to ensure compliance and adherence with funding and awarding body requirements. The post-holder acts as the first point of contact for all forms of communication for the department, Manager, and their team.
To be responsible for ensuring the accuracy and completeness of apprenticeship data and related funding claims in accordance with funding and audit requirements
To develop and manage data integrity procedures including the management of validation and exception reports, reporting regularly to management including the enrolment, registration and resulting of learners
All exam entries, registrations and claims are processed using awarding body portals
Ensure learner eligibility requirements are met in line with funding rules and assist with the internal spot checking of registers, learning agreements and other documentary evidence to support funding claims and to ensure the data is audit compliant.
Maintain accurate manual and electronic learner records ensuring learner management system and tracking tools are used effectively
Monitor and maintain the integrity of all core apprenticeship data on our database through regular ILR validation and data correction and the preparation for funding and quality monitoring and audits.
Work to audit expectations of funding and awarding bodies, and to keep up to date with FE funding rules, learner eligibility, entitlement, and guidance

General Office Administration
Sort, distribute and prioritise incoming mail, using judgement and experience to decide which documents are to be passed to the manager/trainers and which may be passed directly to other areas for action and information.
Administration Support to Learning and Development Team
Liaising with meeting participants to arrange mutually agreed dates and book a meeting room and invite participants using electronic calendar methods and monitor acceptance
Prepare and distribute agenda, electronically, to meeting participants
Take minutes and/or transcribe participants notes into agreed Trust format
Electronic diary management for specific agreed Learning and Development staff
Collecting and Analysing Data
Devise and manage systems for collecting and reporting information and statistics required by:
Awarding bodies,
Funding agencies
Regulatory bodies
Partner organisations
Sector skills
Education provider
